Job Purpose

You will be responsible for the execution of HR processes and transactions according to the documented procedures for assigned area of responsibility within the Shared Services team, so as to fulfil internal and external service commitments. You will also handle the daily workload and deliver day-to-day HR transactions in a timely and accurate manner with minimum supervision.


Responsibilities

1. Support the business partners in all administration tasks which includes and not limited to;

- Contract Renewal

- Prepare Re-Employment Contract

- Letter of Certification

- Prepare Acceptance of Resignation

- Trigger staff Confirmation letter

- Manage Medical Report for all new hires / foreign workers

- Manage Corporate Tee

2. Complete the process of renewal and cancellation of work passes on time and in accordance to MOM law, including submission of 6ME

3. Ensure all administrative tasks (including liaising with TAC, TR and TD) are delivered accurately, timely and with quality standard

4. Work with superior to assess and review the internal HR operational workflow to streamline work processes, leveraging on technology

5. Input and maintain employee information in HRMS

6. Upload of p-files and employee documents to DMS

7. Administration of approval flows for the modules in HRMS for On and Off Boarding

8. Ensure data accuracy in HR systems and personnel file records including standard operating procedures are updated on a timely basis

9. Handle wellness gifts and wreaths for corporate services

10. Granting and administration of Corporate passes, i.e. access to work pass website

11. Participate and give support in special HR projects assigned by supervisor, HRM or HRD

12. Any other ad-hoc duties and tasks assigned by supervisor and manager


Job Requirements

· Minimum Diploma in Business Admin / HR or equivalent with 3 to 5 years of relevant HR experience or Degree in Business Admin / HR or equivalent with 1 to 2 years of relevant HR experience

· Familiar with Singapore Employment Act

· Good communication (written and oral) and presentation skills

· Good problem-solving and analytical skills

· Able to maintain highest degree of confidentiality and professional integrity

· Able to multi-task and work independently as well as in a team

· Takes initiative, proactive and positive

· IT savvy; able to work on the cloud and familiar with MS Office suite
