Office Support
· Reception Duties- Direct visitors, clients, and staff to the appropriate person or department. And Handle requests, feedback, and queries incoming phone calls.
· Pantry and Office Maintenance- Ensure the pantry and office area remains clean and well-organized, maintain cleanliness of equipment such as the fridge and microwave, keep pantry stocked with 3-in-1 instant coffee, tea, biscuits.
· Meeting Coordination- Plan and coordinate meetings, including updating calendars, booking rooms, setting up equipment, and arranging refreshments. Assist with document preparation, presentations, reports, and photocopying.
· Group Communication- Update group messages with notices regarding unavailable facilities, water issues, or internet problems. Update the whiteboard to track staff’s leave and medical leave statuses.
· Delivery Arrangement- Coordinate the delivery of internal and external office equipment, documents, and devices. Arrange for courier services and manage postage tasks.
IT Administration & Support
· Device Setup and Maintenance– Liaise with the IT team for the setup of laptops or desktops for new joiners and backup and clean up devices if any staff leave. Responsible for liaising with IT team if device or email operation issues, and contacting Singtel for internet problems.
§ Facilities and Equipment Maintenance -Oversee the maintenance and repair of office facilities and equipment for photocopy machines, cashpoint machines and air conditioners.
Office Supply
§ Regularly check and track stock levels of office supplies, maintaining accurate records- mobile app printers, paper rolls, cashcards, SIM cards, handphone, laptops, desktops, and IT accessories, A4 paper and stationery supplies, and place orders when inventory reaches predefined thresholds.
Additional Responsibilities
· Print GRN – Goods Received Note for the weighbridge.
· Mail Handling- Assist with opening and managing the company mailbox.
· Event Participation- Represent the company at farm markets and fair events.
· Ad-Hoc Duties- Perform other administrative duties as assigned by management.
