Working Hours:

• Mondays to Thursdays: 7:00 AM to 4:00 PM (inclusive of a 30-minute lunch break)
• Fridays: 7:00 AM to 3:30 PM (inclusive of a 30-minute lunch break)
• Service not required on Saturdays, Sundays, and gazetted public holidays

Scope of Services:

The Admin Support personnel will be responsible for the following tasks:

• Handling Calls and Enquiries:Attend to telephone calls, walk-in enquiries, deliveries, school mails, and parcels dispatch.
  
• Document Preparation:Prepare and verify documents, including the Staff Monthly Attendance Sheet and track daily attendance of staff.
  
• Data Management:Maintain and update data records and compile statistics.
  
• Clerical Support:Assist with filing, typing, and drafting correspondences.
  
• Student Support:Attend to pupils who are unwell and provide assistance as needed.
  
• General Support:Carry out any other duties assigned by the school.
  

Qualifications, Skills & Experience:

• Minimum Education:At least an O-Level qualification.
  
• Language Skills:Must be able to handle telephone enquiries from Mandarin-speaking parents and vendors.
  
• Experience:At least 3 years of relevant experience providing administrative support.
  
• Technical Skills:Proficient in MS Office.
  
• First Aid Knowledge:Basic first aid knowledge is required.
  
• Soft Skills:Good communication and interpersonal skills.
  Strong customer service skills.
  A good team player with a high level of initiative and the ability to work independently.
  

Job Title: School Admin Support Officer cum Receptionist
Location: Ai Tong School, 100 Bright Hill Drive, Singapore 579646
Contract Duration: 2 January 2025 – 31 December 2025
Option Period: 1 January 2026 – 31 December 2026 (Subject to good performance review)

Working Hours:

• Monday to Thursday: 6.45am – 3.45pm (inclusive of a 30-minute lunch break)
• Friday: 6.45am – 3.15pm (inclusive of a 30-minute lunch break)

Note: Service is not required on Saturdays, Sundays, and gazetted public holidays.

Job Objective:

The School Admin Support Officer cum Receptionist will play a key role in maintaining the reception area, providing administrative support to the school, and assisting in communication with parents, students, and staff. The role ensures the smooth functioning of school operations and front desk duties.

Key Responsibilities:

Administrative Functions:

• Maintain the cleanliness and organization of the reception area.
• Prepare, verify, and manage documents such as records, statistics, and correspondences (filing, drafting, replying).
• Carry out ad-hoc tasks as assigned by the Administration Manager and School Leaders.

Reception Duties:

• Provide front desk services, including managing enquiries and counter services.
• Answer and direct phone calls to relevant staff.
• Handle incoming mail, parcels, and deliveries, and ensure they are distributed to the appropriate recipients.
• Liaise with parents, teachers, vendors, and other stakeholders on school matters.
• Attend to unwell students in the 'sick bay' and coordinate with teachers and parents until the students are well cared for.
• Welcome and assist walk-in visitors, including parents, vendors, and students seeking help at the General Office.

Required Qualifications, Skills, and Experience:

• Education: G.C.E. ‘O’ Level
• Pleasant and professional demeanor with strong interpersonal skills.
• Ability to multitask efficiently and work independently in a fast-paced environment.
• Language Skills: Fluency in English is required, and proficiency in Mandarin/Chinese is preferred as Ai Tong is an SAP school.
• Proficiency in Microsoft Office applications.
• A minimum of 2 years of relevant experience in administration or customer service is preferred.
• Candidates with First Aid training will be given an advantage.

Student Assistance

Provide assistance to students at the sick bay.

The Personnel shall minimally have the following qualifications, skills, and experience:

Preferably GCE “O” / “N” Level with credit in English or equivalent.

Proficient in MS Office and use of IT systems.

Strong customer service skills.

Preferably some experience in primary school administration.

Personnel Deployment Hours

Mondays to Fridays: 7:30 AM to 2:00 PM (inclusive of a 30-minute lunch break).

Service Exclusions:

Service not required on Saturdays, Sundays, and gazetted public holidays.

Admin Support

Responsibilities:

Receptionist Functions & Front-Desk Operations: Manage front-desk operations and provide a welcoming environment for visitors.

Coordinate Transport Services: Organize and coordinate transportation services as needed.

Logistics Coordination: Handle logistics coordination for various activities and events.

Student Care: Address the needs of students who are ill or injured, including escorting them to the hospital when necessary.

Communication Management: Attend to incoming phone calls, walk-in queries, and email inquiries.

Mail Sorting: Manage and sort incoming and outgoing mail.

Administrative Tasks: Perform simple administrative tasks such as filing and document organization.

Financial Assistance Processing: Assist in processing Financial Assistance Schemes for students.

Additional Duties: Undertake other duties or financial tasks as assigned by the administration manager or school leaders.

Qualifications and Skills:

Educational Qualification: GCE “N” Level or equivalent.

Technical Skills: Proficient in Microsoft Office, including Word and Excel.

Language Proficiency: Fluent in English. Ability to speak an additional language is advantageous.
