Job Title: School Admin Support Officer cum Receptionist
Location: Ai Tong School, 100 Bright Hill Drive, Singapore 579646
Contract Duration: 2 January 2025 – 31 December 2025
Option Period: 1 January 2026 – 31 December 2026 (Subject to good performance review)

Working Hours:

  • Monday to Thursday: 6.45am – 3.45pm (inclusive of a 30-minute lunch break)
  • Friday: 6.45am – 3.15pm (inclusive of a 30-minute lunch break)

Note: Service is not required on Saturdays, Sundays, and gazetted public holidays.

Job Objective:

The School Admin Support Officer cum Receptionist will play a key role in maintaining the reception area, providing administrative support to the school, and assisting in communication with parents, students, and staff. The role ensures the smooth functioning of school operations and front desk duties.

Key Responsibilities:

Administrative Functions:

  • Maintain the cleanliness and organization of the reception area.
  • Prepare, verify, and manage documents such as records, statistics, and correspondences (filing, drafting, replying).
  • Carry out ad-hoc tasks as assigned by the Administration Manager and School Leaders.

Reception Duties:

  • Provide front desk services, including managing enquiries and counter services.
  • Answer and direct phone calls to relevant staff.
  • Handle incoming mail, parcels, and deliveries, and ensure they are distributed to the appropriate recipients.
  • Liaise with parents, teachers, vendors, and other stakeholders on school matters.
  • Attend to unwell students in the 'sick bay' and coordinate with teachers and parents until the students are well cared for.
  • Welcome and assist walk-in visitors, including parents, vendors, and students seeking help at the General Office.

Required Qualifications, Skills, and Experience:

  • Education: G.C.E. ‘O’ Level
  • Pleasant and professional demeanor with strong interpersonal skills.
  • Ability to multitask efficiently and work independently in a fast-paced environment.
  • Language Skills: Fluency in English is required, and proficiency in Mandarin/Chinese is preferred as Ai Tong is an SAP school.
  • Proficiency in Microsoft Office applications.
  • A minimum of 2 years of relevant experience in administration or customer service is preferred.
  • Candidates with First Aid training will be given an advantage.
