The candidate will report to the Head of Marketing and should be comfortable and well versed in using Microsoft Excel, with a keen and meticulous approach to numbers. This role will also be trained in stock forecasting (based in Excel) and documentation work for the relevant approving authorities in relation to our products. Job Description

• Planning of monthly forecast and work with respective factories on stock ordering. Study and analyze customer buying trends and ensuring that the right products are available in the right quantities at the right time.
• Optimizing inventory levels to minimize storage costs and avoid over stock or out of stock. Monitor stock balances to ensure sufficient fulfilment to the trade channels.
• Prepare necessary shipping documentations and selecting the most efficient and cost-effective routes for shipping goods.
• Shipping management: Coordinate incoming and outgoing shipments, with respective factories in the region, 3PL & forwarders for shipments to/from overseas.
• Liaise with internal department stakeholders such as sales and warehouse team to ensure smooth inventory operations as well as with factories and 3PL vendors.
• Using data to identify stock trends, track performance of products, and make informed decisions.
• Any other general reporting if required.

Requirements

1. Good proficiency in Microsoft Excel, knowledge of SAP system is an advantage.

Brief Description
Reporting to the Centre Executive, the incumbent for Administrative Executive position provides full administrative support for BCARE Active Ageing Centre.

Job Responsibilities - The job responsibilities for this position include:

I Administration

1. Maintain the database and attendance records of members and volunteers.

2. Coordinate on submission of reports to government agencies.

3. Set up an effective and efficient record-keeping and information-retrieval system.

4. Petty cash administration.

5. Prepare monthly bilingual Active Ageing Programme - Activity flyer and schedule. Simple translation work is needed.

6. Attend to the Alert Alarm System (AAS) when necessary and update AAS recording to government agencies.

7. Support and update seniors with Information & Referral resources when necessary.

8. Assist in minutes-taking for monthly staff meetings and obtain quotations when necessary.

II Operations and General Maintenance

9. Coordinate schedules and assist in liaising for general repair, maintenance and upkeep of the Centre e.g. air-cons, office and IT equipment, housekeeping and storerooms.

10. Assist in organizing storage space of the Centre, replenishing housecleaning items and office stationery.

11. Update and maintain Asset Register, ensure the safe-keeping of equipment and other important documents.

III Others

12. Participate in other BCARE events and projects when required.

Frequency of commitment

At least 2 days a week (Monday to Saturday)

Available Timing for each commitment

Morning: 8.30am – 12.30pm

Afternoon: 1.30pm – 5.30pm, 4pm – 8pm (based on needs)

(Note : commitment of 4 hours in any of preferred timing above)

Flexibility

You can choose any of the available days and slots of 4-hour within the week. We are seeking individuals who are able to commit 2 days a week regularly. Service contract can be terminated anytime without notice period.

Service Scope

Outreach (Main Focus)

1. Block combing / door knocking on assigned blocks/units to introduce AAC services and encourage membership registration, also through distribution of flyers
2. Admin - Preparing and maintenance of records and information critical for follow-up actions, and preparing necessary reporting to (Data entry of work done, membership registration & data verification)
3. Report back to centre staff and update on outreach done for the day/any follow-ups required

Befriending & Buddying / Outreach for current members

1. Visit seniors who are under Befriending & Buddying List (once a week/once a month)
2. Check-in/home visit for current seniors who are members
3. Admin – Data entry through online forms on work done

Centre Activity/Programmes (where necessary only)

1. Assist centre staff in running programmes/facilitate simple programmes
2. Admin – Data entry for work done

Preferred Requirements (although not compulsory)

1. Prior experience in home visiting/block combing
2. Have worked/volunteered with seniors
3. Able to work independently / do home-visiting alone
4. Able to do online form filling / basic administrative duties

Service Payment

$12 per hour (all payments subject to CPF prevailing rates)

• Consolidates data & prepare relevant reports

• Stock take (Stationery, resource, book supplies, uniform etc)
• Order supplies for Centre operation, including sourcing for suppliers.
