Join our team for a dynamic role with an outsourced project. We are seeking a dedicated individual to provide essential administrative and operational support for organization’s digital programme.

Key Responsibilities:

1. Content & Product development and App Releases

· Coordinate and liaise with stakeholders for content development.

· Summarise changes in App versions and inform relevant stakeholders

· Seek approval for the latest app release versions

· Provide secretariat support for meeting preparatory work to schedule meetings & discussions per month (including booking venues, sending confirmation emails, preparing meeting agenda, drafting slides, logistic set up for video conference calls and etc)

2. Conduct checks for accuracy for programme’s reports (operational & financial, etc) on a regular cadence

· Monitor and extract programme operation data (e.g. programme performance, engagement, rewards, etc) from various dashboard platforms for reporting to management on a monthly basis

· Conduct checks to ensure accuracy of reports on a weekly and monthly basis

· Update financial reconciliation report monthly.

· Assist team to investigate and follow up on incident reporting.

· Provide support to consolidate documentations for annual audit checks & progress.

3. Liaise with customer support team and vendors to

· Track customer feedback trends through customer satisfaction surveys

· Prepare drafts and seek alignment and clearance from management for escalated or complex queries

· Consolidate and ensure that any updates to the digital programme (E.g. bug fixes, new features and releases)

· Develop/ Enhance workflows and processes to enhance customer experience and tighten governance

· Monitor programme known issues and aging cases.

Requirements:

· Diploma qualifications or above with 1 to 2 years of relevant work experience, preferably in project management or digital solutions.

· Proficient in Microsoft Office tools, e.g. Excel, PowerPoint, Word, Outlook etc.

· Meticulous with good attention to detail

· Comfortable consolidating numbers or documents across various sources

RESPONSIBILITIES

1. Main Duties and Responsibilities (80%)

Administrative Duties

• To maintain and improve the department clerical and office records and filing system.
• To assist Head of Centre with correspondence with parents/caregivers, other services ofMINDS, other agencies.
• To prepare, record, type documents minutes, daily/weekly/monthly reports as required by the Head of Centre.
• Filing of centre's staff and clients personal files, records, confidential reports.
• Ensure safe keeping and accountability of Centre's Petty Cash.
• Ensure and maintains the operational readiness of all office equipment.
• Assist Head of Centre in Inventory Management and Control of the Centre.
• Assist Head of Centre and Supervisor in sourcing for quotation and processing order (e -PR), purchase, delivery of goods and services according to standard operatingprocedures.
• Assist in administration of Means Testing (documentation)• Monitor and ensure all trainees' insurance policy are renewed annually.

2. Secondary Duties and Responsibilities (20%) (General Tasks)

• Type, write, read and perform simple editing functions.
• Collating of data and data entry.
• Indexing and filing of records and documents• Photocopying.
• Postal and mailing
• Communicating sorting and distributing of information incoming and outgoing oftaxes, correspondences, and any other information as directed by Head of Centre.
• Answering, screening, and disseminating information from general telephone enquiries.
• Simple accounting e.g. Petty Cash• Processing purchases, claims
• Compilation of reports staff meeting, monthly, inventory and any other reports asdirected by the Head of Centre.
• Maintenance of documentations and records: correspondences internal (other MINDS services) correspondences external agencies e.g., SE Enable MSF, NCSSo Training Officers Manualo Curriculum Manualo Various Centre Forms e.g. Consent forms, means test forms etc.o Centre SOP so Records of Donationso Centre's Inventoryo Stationery Inventory

• Minimum GCE "O" Levels/ ITE/ Diploma

• Effective and good interpersonal and communication skills.
• Computer literacy skills MS Word, Excel, Powerpoint.
• Simple basic accounting skills.

• Attend to emails and telephone enquiries relating to Practising Certificate (PC) renewal applications and Continuing Professional Education (CPE) claims and applications from healthcare professionals and course providers.
• Assist in processing of applications for PC renewal and CPE claims and applications.
• Generate reports periodically and monitor whether practitioners have renewed their PCs.
• Send reminders for PC Renewal and Stop Practice letters for non-renewal of PCs.
