Job Responsibilities:
1.Secretarial Support to Executives (CEO & CFO & CSO):
Coordinate daily schedules of executives, record meeting minutes, process monthly reimbursement claims, participate in organizing company events, facilitate business trips by arranging flights, hotels, and overseas roaming when necessary, handle visa applications, and other assigned ad-hoc tasks.
2. Administrative Support to Expatriates:
Coordinate daily lunch orders and replenish management pantry supplies. Manage rented vehicles, including contract renewals, scheduling car services, and handling monthly billing. Housing matters such as quarterly air-conditioner servicing, assistance with moving in and out, and submission of monthly bills (internet, mobile, utilities) for payment.
3. Assistance to VIP or Guests:
Arrange flight and hotel bookings, transportation arrangements, facilitate food orders and make restaurant reservations as and when needed.
4. General Administrative Support:
Providing general administrative support as required.
5. Any other ad-hoc matters assigned.
Job Requirements:
- Candidates should have a minimum of a diploma in any field or higher.
- A preference for candidates displaying a strong sense of duty, capable of performing well under pressure, and contributing positively to team dynamics.
- Proficiency in Microsoft Office software is required.
- Demonstrated ability to maintain confidentiality of company information is essential.
- Proficiency in both English and Mandarin languages to liaise with Mandarin-speaking guests.
- Prior experience will be viewed favorably.
