A counselling centre is looking for a part-time customer service cum admin assistant to assist our senior admin executive.

Working hours:

Monday: 12 pm to 5 pm

Tuesday: Flexi hours

Friday: 9 am to 1 pm

Saturday: 10 am to 1 pm (twice a month)

Please note that this position requires the person to work in our office near the Bugis area. However, we are open to discussing the flexibility of working remotely on some days.

Job responsibility:

Keeping the stock in order

Assisting in weekly claims

Attend to emails from external and internal customers

Admin support to the director

General admin duty

Requirement:

Proficient in replying to emails

Knowledge of email etiquette and Business English (Grammar and sentencing)

Roles

1. Training Organisation needs a meticulous administration & good customer relations exectutive to handle Pre, During & Post course registration

Specific Responsibilities

1. To reply customers enquiries on course information/customer complaints, and feedback to the Stakeholders. Preparation and Documents Filing & Accurate Customer and Sales Data entry to system or journal.
2. To provide admin supports.
3. To assist with the execution of special events and promotions.

Roles & Responsibilities:

• Attending to general inquiries from, phone calls, WhatsApp & emails
• Work closely with inter-department for any relating matters

Roles and Responsibilities:

Reception:

• Manage Front Desk duties with customer service mindset meeting the realist challenges and demands of a Primary School setting
• Answer phone calls, attend to walk-in visitors, takes messages, responds to enquiries and provide general useful information (in a dynamic environment where calls are volumous)
• Maintain customer related information when required, eg phone log.
• Communicate with teachers regarding parents’ feedback/ messages from phone calls or walk-in parents
• Handle daily varied demands and queries from parents/students/ vendors/saff etc
• Render first level assistance to walk-in students’ needs including sick and injured students. To escalate case to other colleagues in the office immediately if it is beyond superficial cases
• Handle/support situation when students’ vomit, soiled their clothes
• Assist student in times of need, eg lost & found items, change of uniform, locating teacher/classroom/parent
• Assist in receiving of goods and incoming mails
• Maintain tidiness of the Reception area at all times

General Admin

• Assist in the counting / sorting / packing / distribution of brochures or leaflets/items to the teachers and students
• Attend to students leaving school early
• Assist in the dissemination of information: school circulars, parents’ messages
• Manage stock of spare uniform
• Keep stock of first aid items
• Maintain the forms in the reception trays to ensure forms are current and replenished timely
• Assist in Primary One registration such as making photocopies of documents; calling parents to submit forms etc
• Support any othergeneral admin duties as and when required. 
• Any other duties assigned by School Leaders/HODs/AM/OM.

Qualifications, Skills and Experience:

• Minimum GCE “N” level
• Preferably has 2 years of relevant work experience, with an added advantage if the experience is within a school environment.
• Good communication and inter-personal skills
• Good team player with a high level of initiative
• Good customer service skills
• Mature individual with a pleasant disposition, is polite, patient, caring and positive
• Proficient in MS Office
