As Administrator, Facility Support you will be an integral member of the Administration team delivering service excellence to all visitors and callers to our Singapore facilities. As the face of our business, you will greet key clients, suppliers and NOV visitors, welcoming them to our site as well as being the main operator of the switchboard, screening calls and directing callers to their destination, taking messages where needed and informing internal customers of the missed call. You will provide critical administrative support to cross functional teams within NOV supporting various departments as and when required along with everyday tasks. Your proficiency in Microsoft Office software including Word, Excel and Outlook will be critical to this role as will your ability to provide excellent customer service to both internal and external customers of NOV.

DUTIES & RESPONSIBILITIES:

• Reception duties:Telephone switchboard, directing, screening calls, taking and relaying messages in a timely manner.
  Provide timely responses to queries or request
  Greet visitors’ arrival at NOV Reception, provide information and safety induction and announce visitors to company employee
  Prepare and issue Door Access Control cards.
  Prepare welcome board for visitors
  Prepare slides/videos to be played in the screens within the facility
  Ensure knowledge of personnel whereabouts and maintaining exact and complete sign-out/sign-in procedures for visitors and on-site staff - maintain security by following procedures; monitoring logbook; issuing visitor badges; H&S induction and facility evacuation participation.
  Sort outward mail including DHL packages and incoming mail for distribution.
  Provide timely responses to queries or requests from customers, suppliers and public.
  Assist in facility maintenance when required
  Schedule meetings and maintain facility calendar

Description

· Technical & Helpdesk Support, IT/Computer - Hardware, IT/Computer Network/System/Database Admin, IT/Computer - Hardware

· Installation and configuration of office broadband, firewalls, servers, routers, and workstations, as well as office relocation

· Server and Storage Consolidation, Data Protection and Retention

· Virtualization and Cloud Computing Solutions. Inventory control of laptops and licenses and maintain serial numbers.

· To initiate approval and asset write-offs for IT equipment.

· Monitoring, assigning, and purchase requisition laptops and licenses.

Requirement:

· Bachelor Degree in Computer Science and /or with IT-related discipline in relevant professional certifications.

· Minimum of three years' experience working in an IT security-related capacity, with a thorough awareness of cybersecurity frameworks and standards.

Job Description:

• Receive and log service requests from customers or warranty enquiries - to work with service manager to ensure assignment of appropriate service technician.
• To assist and support management in monitoring technicians' attendance, OT, allowance claims and monitor progress to close out all service jobs.
• Ensure all quotations for service repairs are actions and recorded.
• Generate Purchase Orders to vendors for the procurement of goods/supplies required for service jobs, etc.
• Ensure Delivery Orders are logged correctly and monitor vendor invoices are received timely and in complete order.
• Generate quotations and order entry for spare parts.
• Coordinate and follow-up on aftermarket order statuses.

Key Accountabilities:

• Manage and process regional claims submitted by RRS Asia service partners.
• Ensure timely submission of claims into the warranty system within 60 days from Repair Open (RO) date.
• Coordinate the procurement and shipment of spare parts, as well as the retrieval and return process for warranty items with service partners.
• Serve as the primary point of contact for warranty-related claims for service partners and assist to resolve any disputes or concerns promptly and effectively.
• Work closely with internal stakeholders such as Customer Support and Warranty team, to ensure efficient claim processing and resolution.
• Ensure all documentation is accurately recorded and filed in accordance with company policies and regulatory requirements.
• Maintain an organized and up-to-date database of warranty claims.
• Process payments to service partners and billing to Germany for approved claims.
• Supports the Customer Care Centre by accelerating the ordering and delivery of critical spare parts to Distributors and Service Partners, ensuring quick restoration and functionality of engines and equipment.

Qualifications and Skills:

• Degree or Diploma in Mechanical Engineering or Business Administration.
• 3 years of experience in Service-related administration.
• Proficient with MS Office and knowledge with SAP usage.
• Preferably with engineering background and knowledge in engine systems.
• Strong interpersonal and good communication skills, with the ability to effectively manage various stakeholders.
• Ability to multitask, prioritize workload, and work effectively in a fast-paced environment.
