Job Description:

• Greet and welcome visitors, and direct them to the meeting rooms and inform colleagues on the arrival of their visitors.
• Manage incoming calls, directing them to the appropriate departments or personnel.
• Receive, sort, and distribute mail and deliveries.
• Oversee office supplies, ensuring adequate stock levels and making necessary orders.
• Coordinate office maintenance and repairs as needed.
• Assist in planning and organizing company events and meetings.
• Coordinate logistics, including catering, equipment setup, and guest accommodations.
• Any ad-hoc duties that may be assigned from time to time.

Requirements:

• Professional Certificates / Diploma / Degree in Business Administration or any related field.
• Proven experience in a receptionist role.
• Familiarity with office management software (e.g., Microsoft Office Suite) and basic office equipment.
• Excellent verbal and written communication skills in English.
• Strong organizational abilities and attention to detail.
• Ability to multitask and prioritize tasks effectively.
• Friendly, approachable, and professional demeanour in dealing with visitors, employees, and distributors.
• Ability to thrive in a dynamic, fast-paced environment.

Responsibilities:

• Liaise with customers on shipment instructions and booking updates
• Permit declarations and customs clearance
• Coordinate, booking and tracking of Import shipments (Air & Warehouse)
• Handle transportation schedule and operations duties
• Monitor shipment status and update customer and sales team
• Liaise with overseas agents on various requirements and rates
• Prepare necessary documents for internal stakeholders to follow up
• Checking of shipments status
• Perform any ad-hoc duties assigned by superior

Requirements:

• Possess 2-3 years of airfreight experience
• High attention to details
• Able to work well independently
• Working Days: 5.5 days (Sunday / Public Holiday duty, according to work roster)
• Working Hours: 9am - 6pm & 9am - 1pm
• Working Location: 9 Airline Road
