As a Finance and HR Admin Officer, you will be responsible for the following duties:

Finance

• Manage payments and obligations to suppliers, customers, and third-party vendors.
• Process bank deposits and reconcile financial records.
• Prepare, issue, and store invoices; send reminders to clients to ensure timely payments.
• Submit tax forms, prepare and track all taxes and filings.
• Identify and resolve any discrepancies, reporting on accounts payable and receivable status.

HR

• Organize, update, and maintain internal databases with digital records of employee information, including leave, claims, and attendance.
• Oversee onboarding for new employees, including preparing offer documentation and conducting orientation sessions.
• Update company policies and FAQs, and generate reports on key HR metrics such as turnover rates and departmental hires.
• Schedule interviews, contact and screen candidates, and manage correspondence and confidential documents.
• Handle all employee inquiries, ensuring confidentiality and discretion.

Clinic Admin

• Support day-to-day administrative tasks within the clinic.
• Perform administrative functions as required by management, ensuring smooth clinic operations.

• Possess a Diploma in HR or related fields.

Job Responsibilities:

· Report to Financial Controller who is a qualified CPA / Chartered Accountant

· Execute the company’s inventory policy

· Manage the company’s inventory system including stock profiles and locations

· Churning of necessary daily and weekly Inventory/Purchasing reports

· Ensure incoming goods are receipted and managed appropriately in Finance aspect

· Review historical data to build timely forecasts for assigned markets

· Responsible for planning periodic stock checks via audit work and stock takes

· Perform reconciliation or audit after physical counts and liaise with business units to rectify variance

· Monitor inventory stock -cards and systems to maintain safety stock level to avoid ‘’out-of-stock’’ situations

· Audit check on stock flow accuracy

· Timely update stock movement in physical stock-card and inventory system

· Check on supplier invoices

· Assist in other financial matters

Requirements:

· Minimum Diploma or Degree in Finance, Accounting or Business fields

· 2 years of relevant experience preferably from service / hospitality / healthcare / retail industry

· Recent university or polytechnic graduates in relevant fields without work experience but with good attitude and academic records are welcome to apply.

· Candidate who are undergoing CPA training program are welcome to apply

· Experience working in fast-growing SMEs will be an advantage

· Good in planning and organising work flow, with strong in numeracy, analytical and good interpersonal skills

· Proficient in English communication and writing.

· Ability to read, write, and converse in Chinese will be an added advantage as liaising with our counterparts in China and Chinese customers.

· Enjoy working in fast-paced and dynamic environment

· A multi-tasker and learner with self-motivation and integrity

· Strong proficiency in Excel and proficient in Office applications such as Word, PowerPoint and IT systems
