Responsibility

• Assist with day-to-day HR operations and administrative support
• Handling work pass-related matters (e.g. application, renewal, cancellation, levy waiver and appeal, etc.)
• Prepare and coordinate employee on-boarding/off-boarding process
• Administer staff attendance, leave benefits, staff welfare
• Assist in payroll preparation
• Process employees requests and provide relevant information
• Ensuring smooth office operations such as the replenishment of office supplies, building and facilities management
• Plan office engagement events (e.g. Christmas party) for team bonding
• Perform any other HR or administrative duties as assigned

Requirements

• At least 1-2 years of admin and support experience
• PC literacy and experience with MS Office applications
• Excellent organizational and time-management skills
• Hands-on experience with HR software will be a plus
• Training will be provided

Responsibility

• Administrative Support:

1. Answer and direct phone calls, emails, and other inquiries.
2. Manage and maintain filing systems, both electronic and paper.

• Prepare and edit documents, reports, and presentations.

1. Checking mailbox and distribution of mails.

• Office Maintenance and Management:

1. Maintain pantry and office supplies, and reorder/stock when necessary.
2. Coordinate and make travel arrangements- Booking of flight ticket and accommodations
3. Oversee and manage office budgets
4. Liaise with building management on carpark and all other office related matters

• Data Entry and Record Keeping:

1. Enter and update data in databases or other record-keeping systems.
2. Ensure accuracy and completeness of records.

• Event Coordination:

1. Assist in planning and organizing office events or meetings.
2. Assist in foods, beverages and equipment ordering when necessary.

• HR Support:

1. Assist in the WP/EP application and renewal when needed.
2. Maintain employee records and assist with onboarding processes.

• Problem Solving:

1. Address and resolve administrative issues or concerns.
2. Anticipate and proactively address potential challenges.

• All other Ad-hoc duties assigned

Requirements

• High school diploma or equivalent; some positions may require a degree or relevant certification.
• Proven experience in an administrative role.
• Strong organizational and multitasking abilities.
• Excellent communication and interpersonal skills.
• Attention to detail and accuracy.
• Proficiency in office software and equipment.
• Technology Skills: Proficient use of office software (e.g., Microsoft Office Suite).

• Perform full spectrum of HR functions.
• Responsible for the implementation of HR policies, practices and processes at country level.
• Assist in monthly payroll for all levels and monthly reporting.
• HR Audit and ISO 27001 Audit.
• Handling of IR21 and annual income tax submission.
• Conduct assessment and evaluation on a continuous basis regarding the performance of the staff.
• Work closely with management and submit performance or other reports to Head Office.
• Any other HR or administrative duties as assigned.

Requirements

• Minimum of 5 years’ experience in Human Resource.
• Handling sensitive or confidential information with honesty and integrity.
• Well versed in End-to-End processing payroll, government mandatory benefits and Labor Law.
• Excellent communication and interpersonal skills.
• Hands-on with a positive attitude.
• Meticulous and well-organized.
• Proficient in MS Office. Knowledge of Excel VBA Macro will be a plus.
