We are seeking a motivated and detail-oriented individual to join our team as an HR / Admin Assistant. This role is ideal for someone who is eager to learn and contribute to both human resources and administrative functions. This position is open to Singapore Citizens and Singapore Permanent Residents only.
Key Responsibilities:
- Assist in recruitment activities.
- Support onboarding and offboarding processes for new hires and resigned employees.
- Maintain and update employee personnel files and HR system records.
- Prepare and manage daily manpower and attendance reports.
- Assist with Work Pass administration, such as arranging medical examinations and card registrations.
- Support payroll administration, including verifying clocking data, overtime hours, and project allocations in the Time Management System (TMS).
- Oversee and manage leave applications and medical claims through the Employee Self-Service (ESS) portal.
- Administer training programs, including tracking certificate validity and coordinating training registrations.
- Organize and coordinate company meetings and events.
- Liaise with clinics for industrial medical examinations.
- Oversee dormitory administration, including monitoring resident movements and conducting inspections.
- Administer Jurong Island pass applications and renewals.
- Monitor and manage pantry and office supplies, including stationery and toiletries.
- Assist with procurement tasks, such as issuing Purchase Requisitions and Purchase Orders for office supplies.
- Handle general office administration, including answering calls, distributing mail, and updating phone and email directories.
Requirements
- Minimum Diploma in Human Resources or relevant discipline
- Fresh school leavers are encouraged to apply; training will be provided.
- Strong organizational and multitasking skills.
- Good communication and interpersonal abilities.
- Eager to learn, adapt, and work in a dynamic environment.
- Proactive and can work independent
- Able to start work immediately or on short notice is highly preferred.
Other Information
- 5 day work week, Monday to Friday, (8.00am - 5.30pm)
- Transport provided to and from Jurong East
