Summary:

• To perform this job successfully, the individual is expected to handle highly sensitive and confidential information while exercising professionalism and discretion.
• Reporting and supporting the Executive Director and will work closely with and supporting the principal.
• Experience in handling trust and legal documents are a must for this role, familiar to compliance duty is a plus.

Job Duties:

1. Assist in providing administrative support / services as well as solutions meeting the needs for the Company and the Group.
2. Assist in creating, formatting, and proofread documents, including letters, reports, memos, and presentations to ensure accuracy and professionalism in all written materials.
3. Transcript of voice recording of meetings / phone conferences.
4. Draft, review & comments emails / agreements / documents for Executive director’s consideration.
5. Comfortable to identifying and evaluating legal and compliance risks within the company and the group.
6. Monitor and report on regulatory changes and developments.
7. Record and monitor deadlines, update status and tracking internal database / reports of relevant tasks / project assigned.
8. Administer and maintain databases / files; renaming, reorganizing, and maintaining files, folders, documents, and internal database (spearhead converting largely to digitally).
9. Assist in office management.

Job Description

• Assist Operations Manager in managing daily operations on site, including conducting regular site visits, manpower planning and timely performance reporting for billing purposes.
• Assist Operations Manager in ground incident management and investigations, including conducting After Action Review (AAR) of any ground occurrence.
• Responsible for the onboarding process of new hires. Duties will include conducting induction briefing and quarterly refresher training to Security team.
• Plan and schedule training for staff in alignment with all relevant regulatory requirements.
• Plan and conduct periodic Red-teaming and/or Tabletop exercises to ensure the vigilance of security personnel.
• Co-ordinate with management team and work with clients’ management to ensure customer satisfaction.
• Support Workplace Safety and Health (WSH) activities to ensure compliance with organisational and regulatory requirements.
• Any other duties as assigned by the Management.

Requirements

• Prior working experience in a similar operational management role, ideally within the security industry and/or previous working experience in local law enforcement agencies such as SPF, MHA, etc.
• A valid security industry licence or accepted certificate of security competence
• Good track record of working in a fast paced and demanding environment.
• Strong verbal and written communication skills, interacting both internally and externally.
• Strong problem solving and incident management skills.
• Strong organizational skills with the ability to manage multiple tasks simultaneously and meet operational objectives and deadlines.

Salary: $3300 basic

Working Location: based in our office and rotate around different sites.

Working Days: 6 days, Monday to Sunday, one-off day depend on schedule

Working Hours: 945am-1045pm( Two hours break)

Job Scope:
1. Plan and Monitor deployment of officers to various assignments

2. Activate relief and allocate to locations where there are disruptions.

3. Daily auditing and reporting of manpower status

4. Assist to recruit according to the needs, objectives and policies of the agency.

5. Assist in implementation and ensure compliance of regulations, policies and procedures

6. Ensure timely receipt of attendance records and report on In House Security System faults.

7. Prepare daily, weekly and monthly documentation and reports (eg. Security Personnel Profile, Organization Chart, Contact List, Recruitment Summary, Tardiness Reports, etc)

8. Coordinate on training needs

9. Monitoring of control room and report on anomalies

10. Conduct inspection checks for assignment as rostered to ensure that officers perform duties up to the satisfaction of our clients. Put up Violation Report / Compliment Report

11. Participate in Security Systems Enhancement

12. Stand in at site if required
