Overview
The Project Site Assistant plays a pivotal role in ensuring the efficient functioning of construction projects. This position involves a blend of administrative, coordination, and problem-solving tasks.
The Project Site Assistant collaborates closely with project managers, subcontractors, and other team members to achieve project goals effectively.
Responsibilities
1) Site Pass Application & Renewal Monitoring:
- Oversee the application and renewal process for site passes, ensuring compliance with security protocols.
- Coordinate with relevant authorities to facilitate smooth access for project personnel.
2) Site Issues Bridging:
- Act as a bridge between different stakeholders (contractors, suppliers, and project managers) to address site-related issues promptly.
- Facilitate effective communication and resolution of any conflicts or challenges.
3) Site Progress Tracking and Reporting:
- Regularly monitor project progress on-site.
- Prepare detailed progress reports, highlighting milestones achieved and potential delays.
- Collaborate with project managers to ensure timely completion.
4) Functional Test Report Generation:
- Assist in conducting functional tests for various project components.
- Document test results accurately and generate comprehensive reports.
- Share findings with relevant team members for corrective actions.
5) Collection and Documentation:
- Collect relevant data, including updates due to variations (VOs) or design changes.
- Maintain accurate project records and documentation.
- Support project managers in organizing and archiving essential project information.
6) Assistance with Third-Party Issues:
- Collaborate with external parties (third-party contractors, consultants, etc.) to address any project-related challenges.
- Ensure smooth coordination and resolution of issues.
7) Assistance with Requests for Information (RFI) and Client Submissions:
- Assist in preparing and submitting RFIs to clients.
- Facilitate timely communication between the project team and the client.
- Ensure all necessary documentation is complete and accurate.
8) Faulty Components Tracking and Replacement Arrangement:
- Monitor the condition of project components and identify faulty items.
- Coordinate replacement arrangements promptly to minimize disruptions.
- Maintain an inventory of replacement parts.
9) Documentation Support and Problem-Solving:
- Prepare and organize all project-related documentation.
- Address day-to-day challenges that arise during construction.
- Collaborate with team members to find practical solutions.
10) Process Improvement and Client Service Enhancement:
- Provide valuable input for streamlining procedures.
- Ensure accurate data management.
- Strive for high-quality client service by proactively identifying areas for improvement.
Working Hours
Full-Time: Based on-site.
Working Days: Monday to Friday (5 days per week).
Working Hours: 9:00 AM to 6:00 PM each day.
