THE ROLE: Assistant, Academic Planning and Support Office (APSO)

Kaplan Singapore is seeking a highly motivated and proactive Assistant to join our Academic Planning and Support Office team. As part of the APSO team, you will play an essential role in ensuring efficient and effective scheduling of classes, meetings, and resources across our programs.

Key Roles and Responsibilities:

Participate in Projects for Continuous Process Improvement

• Support in identifying opportunities for enhancing timetable scheduling processes.
• Evaluate current processes and provide input on enhancements that improve efficiency and user experience.

Timetable Scheduling and Classroom Booking

• Familiarity with Celcat and other timetabling related processes.
• Familiarity of programs of study offered at Kaplan. Utilize knowledge and understanding of Kaplan programs to establish optimal policies and procedures to effectively manage classroom schedules.
• Provide support for any ad-hoc changes, late enrolments, class splits, class cancellations, receipt of mid-term and final exam dates and room bookings for internal meetings.
• Be familiar with the automated routines for room bookings and understanding the impact of varying parameters and settings.
• Maximize utilization of classroom resources by:

1. Proactively managing room bookings and demand to ensure the best fit and balance of room size according to number of persons.
2. Reducing the need to outsource rooms and external spaces through active room swaps and liaison with other stakeholders.
3. Reducing facilities management costs through room swaps and advising in any short notice changes.

• Publish classroom schedules and latest timetables to lecturers and/or students as determined by programs.
• Liaise with program managers to gather scheduling requirements and preferences.
• Coordinate the allocation of rooms and equipment to ensure optimal utilization of classrooms resources and.
• Communicate updates promptly to stakeholders and maintain comprehensive documentation of any revisions made.
• Alert Manager about impending room shortages in a timely manner.

Requirements:

• An ideal candidate should possess at least a Diploma in any discipline. Diplomas in Business, Administration, Logistics are preferred.
• Proficiency in both spoken and written English for daily communication.
• Experience working in facilities management department or education industry will be an added advantage.
• Familiar with Microsoft Office, with intermediate to advanced MS Excel skills.

1. Strategic Business Partnering and HR Advisory

• Build and develop a strong and trusted relationship with the HOCs/HODs, Managers and Staff of the assigned group to establish credibility and accountability
• Establish a strong understanding of the Centre’s goals, operations needs/challenges (current or future) and ground issues of the assigned group
• Be well-versed in the Expenditure of Manpower (EOM), manpower requirements, staff promotion and succession planning, etc. that are unique to the assigned group
• Provide HR advisory and guidance to influence talent decisions and adding value to the centre operations
• Work internally with Talent Development and Talent Rewards to put together the right resources to develop thoughtful solutions as well as recommendations to support the assigned groups in their issues/challenges
• Make regular visits to the assigned Centres and walk the ground to hear the voices of employees

1. Recruitment

• Be accountable for the recruiting process across job levels and functions of the assigned group
• Responsible for the end-to-end recruitment process; from gathering requirements, advertising, sourcing, interviews, and negotiation to offer management
• Advise hiring managers on hiring process and ensures that recruitment follows corporate and local laws
• Build and maintain talent pipelines; provide excellent candidate experience and create a strong brand presence for the organisation
• Participate in recruitment and outreach events
• Be an advisor to the HOC/HOD in proactively researching, exploring and developing innovative recruitment strategies to attract talents
• Develop an effective applicant tracking system to manage recruitment process and track all recruitment related activities data in a timely manner
• Responsible to provide an accurate & timely recruitment report by adapting a data driven approach to recruitment

2. Employee Experience

• Handle and prepare for new employee on-boarding and induction to ensure progressive assimilation to Centre and the job

· Discuss employee confirmation, transfer, conversion, renewal and re-employment with HOCs/HODs, managers and staff to ensure smooth transition to the next milestone, new position or employment phase/condition, etc.

· Coach managers on the Performance Appraisal process with Form completion and performance conversations with employees

· Prepare and handle employee off-boarding to ensure smooth and gracious exit experience, be it voluntary or involuntary exit

1. Employee Retention effort

• Propose retention options, initiatives and strategies to better retain talents and reduce staff turnover
• Conduct surveys and interviews to gather valuable feedback
• Compile and analyze data collected from employee surveys and interviews
• Identify specific areas of issues and/or concerns
• Propose and advise Action Pan to address or improve any issues and/or concerns identified
• Measure staff turnover

c) Employee Engagement & Activities

• Participate in rolling out organization-wide events and activities such as Staff Recognition Award, Recruitment Fairs, etc

d) Employee Relations

• Manage employee poor work performance, including the process of PEP (Performance Enhancement Plan)
• Manage employee disciplinary issues
• Handle employee grievances
• Manage workplace conflict and dispute

Payroll

• Verifies all payroll instructions, including but not limited to, employment contracts, front office information, timesheets, receipts, etc.
• Process associates’ payroll in accordance to business agreed terms, local legislations, business / local and group / internal and external audit requirements using appointed system.
• Ensure accurate and timely salary payments, plus mailing of pay-slips to associates.

Billing

• Verifies all billing instructions, including but not limited to, service agreements, front office information, timesheets, receipts, etc.
• Process billing for clients in accordance to business agreed terms, local legislations, business / local and group / internal and external audit requirements using appointed system.
• Follow-up with clients on the receipt and query of the invoices.
• Ensure accurate and timely invoice delivery, i.e. mode, invoicing requirements etc.

Reporting

• Ensure accurate and timely submission of statutory contributions, i.e. CPF, SDL, etc.
• Ensure accurate and timely submission of monthly closing reports to Finance.
• Support in providing adhoc reports upon branches’ request within reasonably agreed timeline.

Others

• Provide advice and support in branches’ queries relating to payroll and billing matters.
• Participate in pre / actual / post system enhancement or migration activities if required.
• Provide support in pre / actual / post audit activities if required.
• Appointed individual(s) will be tasked to :

- Process statutory claims – National service, maternity, childcare leave etc.

- Process year-end tax for all associates.

• Proficient in Microsoft office applications and has a flair for numbers and statistics
