Responsibilities

• Perform regular audits and inspections to identify facility hazards and areas for improvement.
• Lead safety meetings in various operational areas.
• Monitor, interpret, and communicate HSE regulatory requirements to ensure compliance.
• Report and investigate accidents, incidents, and near misses promptly, providing recommendations for corrective and preventive actions.
• Address and follow up on HSE issues or non-compliance identified by external parties, ensuring timely resolution.
• Work with management and operational teams to develop, implement, and maintain HSE management systems, policies, procedures, and standards.
• Coordinate with external parties, including certification bodies, government agencies, principals, and customers, on HSE-related matters.
• Create and deliver HSE training programs to educate employees and contractors on safe work practices and procedures.
• Track and report HSE performance metrics, including both leading and lagging indicators.
• Fulfill the duties of a Fire Safety Manager as required by the Fire Safety Act.
• Any ad-hoc duty as given

Requirements

• Min WSH Level C or a degree in WSH.
• Registered Fire Safety Manager
• Registered Safety Officer
• Min 4 years of safety experience in manufacturing or marine industries.

Main Duties and Responsibilities:

Assists in human resource function as Human Resource Business Partner to support the achievement of the overall business strategy.

Supports day-to-day operations that deliver value-add and enhances operational effectiveness and efficiency of the HR function in the following areas:

Manpower Planning, Employee Relations and Engagement

• Manages employee life cycle (onboarding to offboarding)
• Handles employee relations (grievances, discipline etc)
• Facilitates 2-way communication and feedback collection

Policies, Procedures and Reporting

• Assists to formulate, review and implement HR policies and procedures to increase efficiency and ensure consistency.

Training and Development

• Works with respective departments to understand their training needs.
• Manages the training plan to ensure employees’ trainings are arranged based on budget and training needs.

HRIS, Projects and Initiatives

• Keeps abreast of HR technological trends to automate and streamline HR processes.
• Identifies improvement projects to increase HR efficiency and effectiveness.
• Drives performance and other process improvements and influences positive changes.
• Partners with business or functional stakeholders to identify and deliver HR solutions.

Work Pass and Quota Administration

• Manages all work pass and quota administration
• Assists to manage the expatriate from the day they join till they are transferred back to the Headquarter.

Job Requirements

• Degree in Human Resource Management or any related discipline
• At least 5 years of Human Resource experience in a generalist role, preferably in the manufacturing Companies.
• Strong knowledge of Employment laws and HR practices
• Proficiency in Microsoft Excel such as Vlookup, Pivotable

• Assist with month-end stock takes and replenishment of materials.

Responsibilities:

Import Shipment Activities:

• Monitor shipment ETD & ETA dates and ensure receipt of shipping documents from suppliers.
• Liaise with suppliers regarding amendments/discrepancies during draft documentation checking and verification before requesting final documentation.
• Issue import work orders to forwarders and warehouses for import clearance and cargo receiving purposes.
• Coordinate with third-party warehouse providers to ensure timely clearance and unstuffing.
• Liaise with the Accounts Executive for documentation that needs to be sent to the bank.
• Coordinate with couriers for urgent cases of OBL submission from the bank to the carrier.
• Monitor and ensure receipt of unstuffing reports from third-party warehouse providers within working days after unstuffing.
• Check and ensure the accuracy of unstuffing reports. Report discrepancies, damage, and torn bags to the Manager for follow-up with suppliers.
• Ensure complete sets of shipping documents (signed COA & Work order, HC, Permit, damage photos if any) are available in SharePoint for each work order once posted in Navision.
• For CIF/CIP shipments, monitor damage quantities in unstuffing reports and submit insurance claims if they meet the criteria in the insurance policy.
• Submit claims to suppliers when necessary.
• Assist the Import Manager in updating reports.
• Cover duties of the Import Manager and other team members when required.

Transfer of Raw Material & Finished Products

• Issue Transfer Work Orders upon receiving information from the R&D team.
• Monitor and ensure claims for damaged bags during transfer are submitted to the insurance company.
• Ensure sample bags are transferred promptly for sampling after unstuffing.
• Ensure transfer activities are updated in Navision on time.

Requirement:

• Bachelor’s Degree or Diploma in Supply Chain Management, Logistics, Business Administration, or a related field.
• Minimum of 3 years of relevant experience in import shipping and logistics, preferably in a manufacturing or supply chain environment.
• Proficiency in Microsoft Office applications, particularly Excel.
• Experience with ERP systems such as Navision is highly desirable.
• Strong understanding of import/export regulations and customs procedures.
