The Senior Executive, Facilities Management, plays a key role in ensuring the efficient and effective operation of all facilities and buildings managed by the company. This role involves overseeing the day-to-day operations, maintenance, safety, and improvement of the company’s physical assets. The Senior Executive will work closely with various internal teams, external contractors, and vendors to support business operations and ensure compliance with health and safety standards.
Roles and Responsibilities
Facility Operations Management
- Oversee daily operations of building systems, including HVAC, lighting, plumbing, and electrical systems
- Ensure facilities are well-maintained, functional, and safe, proactively identifying and resolving issues
- Coordinate and manage facility repairs, preventive maintenance schedules, and upgrades
- Monitor and ensure compliance with all relevant health, safety, and environmental regulations
Vendor and Contractor Management
- Manage relationships with third-party contractors, vendors, and service providers
- Negotiate service contracts and ensure that service level agreements (SLAs) are met
- Oversee contractor performance and address any issues related to service delivery
Budget and Cost Management
- Assist in developing and managing the facilities management budget, ensuring cost-effective solutions
- Monitor and track expenditures related to facility operations, maintenance, and improvements
- Identify opportunities for cost savings and operational efficiencies
Health and Safety Compliance
- Ensure all facilities comply with health and safety regulations, including fire safety, emergency evacuation plans, and risk assessments.
- Conduct routine safety audits and implement corrective actions where necessary
Sustainability and Enviromental Initiatives
- Promote energy-efficient and sustainable practices across facilities operations
- Implement energy-saving initiatives and monitor facility energy consumption
Reporting and Documentation
- Maintain accurate records of maintenance activities, budgets, and contractor agreements
- Prepare and present regular reports to management on facility performance, incidents, and budget status
Team Collaboration and Leadership
- Collaborate with other departments to address facilities needs and issues
- Provide leadership and guidance to junior staff, ensuring the team is aligned with company goals
Requirements
- Bachelor’s degree or Diploma in Facilities Management, Engineering, or a related field
- 3 - 5 years of experience in facilities management
- Experience in managing facilities maintenance, vendor relations, and budgeting
- Strong knowledge of building systems (HVAC, electrical, plumbing, etc.) and facilities maintenance
- Excellent project management skills, with the ability to manage multiple tasks and priorities
- Strong communication and interpersonal skills to interact with internal teams, contractors, and vendors
- Strong problem-solving and decision-making abilities
- Detail-oriented with a proactive approach to problem-solving
