Job Scope:

• Responsible for the efficient functioning of the Executive Vice President
• Provides full secretarial support in a highly proficient and effective manner ensuring that timelines are kept and work is of high quality;
• Manages and maintains appointments, schedules meetings and keeps the calendars up-to-date in an effective manner
• Follows through on the preparation of presentation slides, monthly reports for internal/external meetings;
• Follows through on notes takings during meetings, distributes to all parties concerned and follows through on the completion of action items as required;
• Coordinates effectively meetings/ conference including sending out meeting invitations and the booking of meeting venues;
• Organises Company/Corporate events and ensures that all aspects of the arrangement are effectively looked into;
• Follows through effectively on projects/tasks assigned and ensures the completion without prompting;
• Co-ordinates on projects/tasks with other members of staff to ensure proper completion;
• Follows up effectively and promptly on incoming and outgoing correspondence;
• Puts up management and other reports in a timely manner;
• Arranges all business trips and ensures the proper co-ordination of travels, hotel bookings and appointments;
• Assists in putting up travelling and other general expense claims
• Maintains an efficient filing system for maintenance of documents.
• Other duties as assigned

Requirements:

• Min Diploma/Degree or equivalent with 8-10 years of relevant experience in a MNC environment
• Good communication skills and people management skills
