Job Description: Assistant IT Manager

Responsibilities

• Analyse business, work with key business stakeholders to incorporate IT applications and operation processes with technology solutions.
• Project management, tracking, monitoring and status reporting to stakeholders. Defining deliverables, resources and workplans for projects. Ensuring the timely delivery of projects.
• Assist the department head in organising, planning and implementing IT strategies.
• Ensure that all networks (including internet and wireless), systems, security and application infrastructure are running efficiently.
• Responsible for tasks related to IT operations, governance and risk management.
• Manage a team to ensure smooth running of daily IT operations, ensuring timely resolution of issues, fulfilment of requests and provision of IT related information.
• Manage vendors and suppliers to ensure deliverables, cost effectiveness and timeliness of services/ products.
• Any other duties assigned.

Requirements

• Relevant working experience with IT Infrastructures and application support.
• Experience in Point of Sales (POS) and ERP systems like SAP and Navision/MS Dynamics is preferred.
• Strong technical skills and knowledge in IT infrastructure areas which includes Microsoft 365 Implementations and Deployments, Directory Services (e.g. Microsoft Active Directory), messaging and collaboration technologies (e.g. Microsoft Teams), Network infrastructure (e.g. LAN and WAN network routing). Familiarity with Microsoft Azure, AWS cloud infrastructure would be advantageous.
• Experience in setting up ticketing systems like JIRA, DevOps, etc
• Candidates proficient in Mandarin and French are preferred to support openings in North Asia and Europe.
• Process-oriented and good problem-solving skills.
• Excellent organisational skills, meticulous and attention to details.
• Ability to manage multiple tasks and support different projects simultaneously and respond to changing deadlines and priorities.

Role and Responsibilities

• Design and improve manufacturing processes with input from global experts and the project team.
• Create production line layouts and station designs, with support from the equipment and testing engineering team.
• Design material handling and preparation flows, including Kanban material replenishment.
• Maintain and optimize production and material handling process data, including process flows, standard times, critical parameters, staff allocation, and technical data in the Process Management System (PMS) and SAP.
• Implement production processes and material handling flows and provide initial training and guidance to the team.
• Update Standard Operating Procedures (SOPs) and maintain knowledge documents such as FMEA, Quality Control Plans, and Work Instructions.
• Coordinate and assess the risk of new or revised processes.
• Resolve quality and process issues.
• Evaluate current performance and drive improvement projects to enhance quality, efficiency, resource utilization, capacity, and space utilization.
• Support digitalization and smart factory initiatives.

Skills and Qualifications

• 2 to 5 years of experience in Lean Improvement, Engineering, or Manufacturing.
• Diploma in Mechanical or Electrical Engineering (or equivalent) preferred.
• Familiarity with manufacturing technology and IT is a plus.
• Creative and analytical thinker.
• Good written and verbal English skills.
• Commitment to safety standards and regulations.

POSITION PROFILE:

This position is essential to the supply chain process, ensuring that shipments of finished goods arrive at customers on time to achieve high levels of customer satisfaction. The Logistics Executive will oversee daily logistics operations, collaborate with transportation providers, manage documentation, and verify logistics invoices. They will also be responsible for reviewing and enhancing processes for operational excellence. Additionally, the candidate will plan and execute forwarder bidding activities to manage overall logistics costs and support organizational cost reduction initiatives.

Key Duties & Responsibilities:

• Coordinate shipments with transportation providers, freight forwarders, and third-party logistics partners to ensure quality and timely delivery.
• Communicate effectively with internal and external stakeholders to secure timely deliveries and meet operational KPIs.
• Provide regular status updates on domestic and international shipments to support both internal teams and external customers.
• Collaborate with finance, business partners, freight forwarders, and 3PLs for accurate shipment arrangements, documentation, cargo release, and final deliveries.
• Work closely with freight and ocean forwarders to schedule shipments, track statuses, and ensure timely delivery.
• Collect, analyze, and report logistics data; collaborate with stakeholders to improve metrics/KPIs for efficient logistics management.
• Conduct monthly analyses of shipping data and report findings to management for informed decision-making.
• Perform trend analysis to identify corrective actions needed; drive implementation of improvements based on findings.
• Participate in initiatives aimed at enhancing daily operations within the logistics framework.
• Manage the freight bidding process by preparing RFQs, analyzing bids from carriers/providers, negotiating rates, and selecting cost-effective transportation solutions.
• Lead logistics project activities through Business Process Reengineering (BPR) initiatives to achieve organizational goals in collaboration with SP1094 on logistics projects.
• Facilitate collaborative logistics activities by coordinating meetings among Asian factories to encourage information sharing, process improvement, and innovation.
• Drive a culture of continuous improvement in logistics practices across factory locations in Asia while fostering creativity.
• Ensure accuracy of product HS Codes and tariff descriptions by utilizing Japan's HS codes as a reference point; collaborate with Sales and Regional management for necessary updates or changes.
• Monitor compliance with regulatory requirements related to shipping practices.

Ability / Competency Required:

• Strong Communication Skills: Ability to effectively communicate with internal teams and external partners.
• Degree/Diploma in Logistics, Supply Chain Management, or equivalent.
• Prefer 2-3 years of logistics experience in Logistics or supply chain, preferably in manufacturing sector.
