About the Role:This position is responsible for performing various administrative tasks, including reception and guest services, mail services, phone, events, and location services. The first point of engagement with employees and visitors and assists with the coordination and execution of small to medium meetings, conferences, and events for the client.
Essential Duties and Key Responsibilities:
Reception:
• Display a good disposition with warm and professional greeting to all those entering the office. Arranges escorts as needed.
• Responds promptly with accurate and comprehensive information according to the specific request.
• Manages facilities and office requests, follows up on all requests upon completion, and escalates recurring issues.
Mail Services:
• Sort mails, internal correspondence, courier deliveries, and packages.
• Collect, weigh, and frank out-bound mail in line with agreed procedures. Arrange mail collection as and when required.
Event Management:
• Assists with booking meeting rooms.
• Acts as first point of contact for event requests to discussion with requestor and lead the team with all logistic set up.
Landlord Liaison:
• Any other task suitable and agreeable within scope.
• To immediately raise any health and safety concerns to your manager or team leader.
Skills/Requirement
• Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor with a strong, professional customer service orientation.
• Attention to detail, well-organized, and team player.
• Fulfill the physical requirements associated with this role. This may include carrying furniture during set-up.
• Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
• Ability to follow basic work routines and standards in the application of work.
