We are currently accepting applications for a Faculty Assistant position in the Faculty Administration and Support Department. This is a permanent, full time contract, starting as soon as possible and to be based at our Asia (Singapore) campus at One-North.

About the Job

You will provide quality back-end programme and administrative and technical support to a group of Faculty, facilitating their teaching and research. This will involve performing specific work requirements for the faculty members, whilst reporting administrative matters to the Area Manager. You must organise and complete a high volume of work, reconcile conflicting demands, prioritise varied and often last-minute requests and ensure that all deadlines are respected. Apart from the Faculty, you will also work closely with the students, other internal and external stakeholders.

Your Responsibilities

Teaching/Course Coordination

• Course preparation: course website creation, copyright clearance, zoom links set-up
• Course support during class: exercises and simulation preparation, online surveys, class attendance
• Coordination with speakers, tutors, teaching assistants, students, graders, campus teams
• Post-course requirements: exam grades and data reporting, video recordings editing

Office Administration

• Manage multiple complex calendars, schedule meetings
• Provide wide range of support including travel arrangements, expense reports, proofread documents
• Manage personal Faculty websites, update biographies
• New Faculty integration on campus

Conference & Research

• On and off-campus events logistics: travel arrangements, room set-up, accommodation reservation, group activity organisation, catering, budget request
• Format research documents: cases, papers, academic articles and books
• Submission and proofread articles according to journal guidelines
• Coordinate travel arrangements for faculty, invited visiting scholars and research assistants

Additional responsibilities

• Area Seminars: organise the guest speaker(s) visits, responsible for logistics (IT, multimedia, room booking, campus services, catering and travel arrangements)
• Coordination between Faculty members and the Executive Education team
• Prepare and send recommendation letters for graduating PhD students

Requirements

• 3 - 5 years of working experience in an administrative support role, preferably in a higher education environment
• A diploma or an administrative degree
• Excellent level of English in both written and verbal communication
• Excellent organisational skills and attention to detail
• Highly flexible and adaptable with strong interpersonal and communication skills
• Sense of initiative and pro-activeness
• Ability to prioritise, set and meet deadlines
• Excellent team spirit and player, with ability to work autonomously
• Excellent computer skills
• Able to work in an international and global work environment

Job Responsibilities:

· Bookkeeping duties, including data entry of transactions and preparing schedules and performing reconciliations.

· Handle full sets of Accounts, and prepare relevant schedule and reports to be ready for Audit.

· Timely data entry to the accounting system and preparation of reports

· Reconcile accounting records and bank records

· Liaison with Clients and suppliers and vendors, external Auditors and Tax Agents

· Prepare and file GST returns quarterly

· Prepare and file Corporate tax, IR8A

· Submit survey reports required by government such as BCA, IRAS, etc

· Drafting and submit financial statements

· Perform outsource audit or certification services

Requirements:

· Minimum Diploma in Accountancy or Accounting related qualifications

· Min. 5 year relevant working experience in Accounting is preferred

· Proactive, committed and able to work in fast paced, high volume processing working environments

· Positive attitude, hardworking, possess initiative & ability to work independently

· Computer literacy in Microsoft Excel & Microsoft Words.

· Ability to organize and manage multiple priorities and able to meet deadlines

· Meticulous and detailed oriented, good filing system

Assistant Visual Merchandising Manager, Up $5.8K

We are seeking a highly motivated Assistant Visual Merchandising Manager for a 12-month contract. In this role, you will assist in developing and executing visual merchandising strategies to enhance the overall customer experience. Working closely with the Visual Merchandising Manager, you will collaborate with cross-functional teams to create compelling displays and ensure consistency across all stores. Your strong attention to detail, creative mindset, and excellent communication skills will be crucial in driving sales and reinforcing our brand image.

Responsibilities:

• Understand marketing calendars for the Fiscal Year and based on this create or adapt merchandising guidelines for distribution to the APAC markets.
• Manage VM projects with vendors and ensure on time delivery to markets.
• Act as brand guardian and provide VM best practices and guidance to markets.
• Responsible for collateral allocation in stores aligned with brand and business objectives.
• Responsible for VM database, collating information of each retail location for execution of VM collateral.
• Be a key partner in new/renewal store planning & merchandising by providing input to market and regional teams to understand the display solutions that will enhance shopper productivity.
• Develop/adapt regionally relevant VM collateral.
• Prompt execution and provision of creative solutions to all regional programs and activities.
• Maintain regular communication with Global Merchandising Department (Main HQ) and the VM teams in the markets.

Requirements:

• Degree in Design or Art School education preferred; formal training in interior design, industrial design, 3D design or graphic design with specialization in 3D.
• Minimum 5 years’ experience in Interior or Retail VM department.
• Strong skills in designing and drawing scaled working construction drawings.
• Experience in using Macintosh Vector Works and Photoshop.
• Must be an expert in Adobe illustrator, Photoshop and 3D software (e.g. SketchUp)
• Understands retail Store Design (SD) & VM aspects, i.e. lighting, furniture design, detailing fixtures, materials, etc. as well as the importance of maintaining consistency.
• Has experience in graphic layouts and interior signage.
• Have a strong understanding of traffic flow and human scale.
• Demonstrate leadership qualities and the ability to communicate with team members at all levels.
• Professional and shows an understanding of corporate image & conduct.
• Displays the ability to work in a fast-paced environment and manage time effectively to meet deadlines.
• Strong coordination skills and communicates confidently with others both verbally and through drawing, communicating technical and design ideas to team members at all levels.
