Assistant Event Manager

Singapore

The Assistant Event Manager is responsible for the development, planning and overall operational and execution of meetings, conferences, incentive travel programs and/or special events. The Assistant Event Manager works on a variety of projects simultaneously and serves as the day-to-day planning contact for each respective department. The Assistant Event Manager is responsible for the day-to-day internal contact and project planning functions and overseeing such elements as website development, attendee management, budget management, and final program billing.

Your Responsibilities

• Conduct site inspections, follow up with site inspection notes, revised estimated budget, program itinerary and program timeline
• Utilize, recommend and leverage BCD Meetings & Events preferred hotel agreements and approved Destination Management Companies (DMC).
• Negotiate and purchase ground transportation, entertainment and décor elements via preferred DMCs and/or direct vendors.
• Ensure timely payment of all supplier/vendor bills and oversee invoice payment of deposits are received on time
• Work with various departments to develop, coordinate and implement program agendas and itineraries
• Work with business leadership to create, develop, price and facilitate new and repeat business proposals, including, but not limited to destination, air, hotel, activity and event overviews
• Conduct internal pre-program briefings and post-program debriefings, including briefing and debriefings.
• Manage day-to-day internal program budgets, present to Manager and Event owner for review and approval prior to sending to the client.
• Source destination, air, hotel and venue options that meet the goals and objectives of the departments.
• Track and manage air, hotel and vendor attrition, cancellation and deposit schedules.
• Facilitate the creative direction and fulfillment of program-related participant and host communications materials, including but not limited to save the dates, registration announcements, room gifts, pre-trip and on-site materials, including program signage and participant name badges.
• Reconcile all final billing on-site prior to final billing being sent to Finance and ensure final billing timeline is met.

Job Purpose

The Media Manager role will primarily be responsible in ensuring day-to-day accounts’ operations are running smoothly, that includes media planning, set ups/implementations, and reporting & billing/reconciliation. About The Opportunity

This is an opportunity to work closely with the Global Head of PR and Communications, and Asia’s Head of Marketing to lead the strategic development and hands-on execution of Corporate PR strategy to position the company, its corporate brands and executives in top-tier domestic media outlets in countries Singapore, India, Hong Kong, Mainland China, Japan and Malaysia.

Leverage on your experience in media relations, public relations and senior stakeholder engagement to build, drive and deliver media and communication strategies and corporate marketing programs across the region. Key duties & responsibilities:

• Annual PR Strategy
  Develop a full-year region-specific PR strategy & activity plan for FCM Asia in collaboration with Regional Brand Marketing and Operations that reflects business objectives. Devise accompanying regional narrative to engage with key prospects and customers that elevate our brands and promote the industry and benefits of travel management consultancy.
• Local PR Activation
  Execute PR activities, initiatives and events to engage with key stakeholders in Asia. Create news-worthy stories that capitalise on trending topics, while pitching latest developments and securing commentary opportunities for business leaders. To work with the Global PR & Communications and Corporate Brand Marketing teams to ensure that all PR activity appropriately positions each of our FCM Asia as leaders in their segment.
• Press Office
  Act as the main point of contact for media in Asia. Respond quickly and accurately to day-to-day journalist enquiries escalating with the Global PR & Communications and senior leadership as appropriate.
• Media Relations
  Cultivate strong relationships with top tier Asia travel/trade, news, business and consumer media and their contributors. Secure regular briefings to ensure that FCM, Scott Dunn, Discova, Cross Hotels & Resorts remain top of mind. Proactively pitch original story angles and the latest company news alongside local developments and initiatives. Maintain and develop a database of key Asian media contacts. Work closely with Head of Marketing and Brand Managers to advise and guide limited outreach in select Asian countries.
• Social Media
  Work in partnership with the Content team to use social media channels to engage with Asia-based journalists (e.g. monitor blogs/Twitter feeds of top-tier media for feature story opportunities and pitch media online when relevant).
• Crisis Communications
  Support the Asia Leadership teams (Marketing & Senior Management) on issues affecting the company. Develop speed to market & crisis communication response - gather facts, and create reactive media statements and FAQs while keeping the Global PR & Communications informed. Field and respond to incoming media requests to positively position FCTG Corporate Brands.
• Media Events
  Able to independently organise and facilitate media events.
• Press and Briefing Materials
  Oversee development, approvals and updating of press kit materials, including press releases, fact sheets, bios, backgrounders, etc. for Asia. Prepare briefing materials and messaging/positioning documents for executives in preparation for media interviews.
• PR Measurement & Evaluation
  Measure results and impact of PR outreach in alignment with key performance indicators (KPIs) and leverage media monitoring & measurement tools. Focus on top-tier media and feature story press coverage in the domestic market. Contribute to Global PR reports and keep regional brand and operational teams updated on resulting coverage.
• Customer Communications
  Assist with customer communications when needed including service emails, and incidents Crowdstrike etc. Assist the Head of Marketing of Asia with proofing and editing of communications when she is unavailable to support the team.
  Assist with events including but not limited to; Singapore Summit, GBTA India, town-hall meetings, and annual kick-off meetings. Help to keep colleagues informed and engaged by celebrating achievements and sharing details of relevant regional news and initiatives on Workplace, and briefing Social Media team to post on News page and Social Media channels.

• At least 6 years’ experience in public relations, having held a similar in-house or PR agency position

You:

• BA/BS degree or equivalent experience
• 5+ years of working experience within a marketing/media agency environment
• Solid project management skills and communication skills are mandatory 
• Strong proficiency with presentation software (e.g. Google Slides/PowerPoint) for producing presentations and Google Sheets/Excel for handling large data
• Strong data organisation skills, especially in Google Sheets, to efficiently summarise and present data (comfortable using pivot tables and functions)

Responsibilities:

• Support Assistant Director (Social Media) in developing content strategies and implementing integrated marketing initiatives and engagement plans to drive brand equity while ensuring brand integrity, through strategic partnerships, digital, social media and other marketing touchpoints.
• Identify industry trends and lead the growth and content creation for platforms that are effective in reaching out to specific target audience on the various platforms (Facebook, Tik Tok, Instagram, LinkedIn, and other emerging platforms).
• Foster a positive and interactive social media community environment by actively engaging with the company's social media community and responding to comments and messages in a timely manner, and seeking opportunities to create content that encourages community interaction and engagement.

Qualifications:

• Minimum - 3 years of experience in digital communications and analytics, social media, content and visual design
• Desired - Above criteria and 3 - 5 years of experience in delivering marketing campaigns based on research, data and insight.
• Proven track record in project management: Organised, ensure successful management of relevant admin and procurement timelines, deliverables, and outcomes.
• Storytelling Skills: A wordsmith with a flair for storytelling and that can make complex information interesting and impactful; an eye for captivating visuals
