Job Responsbilities:

• Assist CM officers in receiving activities of new acquisitions into storage
• Assist in the new acquisition accessioning and updating collection related information into the inventory control system
• Assist in exhibition related activities e.g. retrieval of artefacts for viewing, movement of artefacts to conservation labs, permanent stores, prep rooms, or galleries including creating RFID tags for new items.
• Assist in liaising with appointed art handlers, make arrangements for any collection-related processes.
• Assist in liaising with appointed contractor, set up of the fumigation bubble, and the movement of new acquisitions in preparation for fumigation
• Assist in basic cleaning of artefact after fumigation with arthandlers
• Assist in artefact handling and movement during internal stocktake exercise and paperwork and schedule for stocktake
• Assist in the management of tablets and scanners, including liaising with external vendor for repairs and collection of repaired tablets and scanners
• Assist in routine preventive conservation checks of the storage and artefacts
• Assist in storage projects and offsite stores
• Assist in annual inventorying of equipment/ fixed assets/ furnishing
• Assist in maintaining the Long-term Loan masterlist, related files and loan agreements
• Manage the supply and storage of materials for packing and storage, including sourcing for suppliers
• Assist in sourcing for vendors to fix Collections Management fixed assets and equipment
• Assist in the documentation, inventory activities and storage of collection, including system updates
• Assist in the digitization of current and past documents

Requirements / Other Info:

1. Proficient in MS Office.
2. Values collaborative work in a large team and mutually contributes to the well-being of the team.
3. Must be able to move / transfer and retrieve Artefacts from one location to another location.
4. Comfortable to work independently in the assigned room
5. Minimum qualification of Polytechnic Diploma, ‘A’ Levels or at least 3 years of relevant experience in the arts industry or operations role.
6. Working hours: 8.15am - 5.30pm (Mon-Thurs) & 8.15am - 5pm (Fri) Weekends + PH OFF
7. 1 year contract renewable + Up to 1 Month Performance Bonus
8. Art Warehouse is located @ Lakeside

The Opportunity:

Reporting directly to the Senior Procurement Manager, the successful candidate will manage end-to-end procurement activities and support Source-to-Pay workflows, ensuring alignment with sourcing strategies and overseeing supplier tendering, contract negotiation, ordering, delivery, and payments.

The Job:

• Handle the entire procurement processes and support Source-to-Pay workflows, according to the sourcing strategies set.
• Manage the full procurement process, including supplier tendering, selection, contract negotiation, and ensuring timely ordering, delivery, and payment to meet operational needs.
• Build and maintain strong relationships with suppliers and internal stakeholders, promptly addressing any issues related to orders, deliveries, or quality.
• Ensure all procurement activities comply with policies, standards, and regulations while keeping accurate, up-to-date records of contracts, purchase orders, and supplier performance.

The Talent:

• 4-5 years of relevant experience in the procurement function, prior experience in the construction industry is highly advantageous.
• Knowledge of the entire procurement process and experience with Ariba system is a plus.
• Excellent negotiation skills with the ability to build strong relationships with vendors and manage contract agreements effectively.
• Proficiency in Chinese to effectively communicate with native Chinese-speaking stakeholders based in China.
• Must be comfortable working in a start-up environment, as the business is in its initial setup phase, and able to function independently with minimal supervision.

Job Responsibilities:

• Address queries related to procurement-related policies, procedures and facilitate troubleshooting of system errors
• Review and ensure compliance in procurement transactions (POs, Waivers, Contracts raised, new vendor creation/re-activation, etc.) executed. To follow-up on enquires/clarifications (as needed).
• Check and release of POs in SAP and Contracts on eProcurement system (SESAMi)
• Check and release of tender publications
• Facilitate follow-ups in retrieval of supporting documents from multiple parties (e.g. vendors for SD collection, supporting documents for new vendor creation/re-activation, etc.).
• Data analytics – Checking anomalies
• Ensure training and support is provided to users in eProcurement System.
• User-acceptance testing for system enhancements (as required).
• Other administrative duties, scanning/filing and ad-hoc task/projects assigned.

Job Requirements:

• Experience with eProcurement systems.
• Familiarity with tender processes (e.g., tender publication).
• Strong communication skills.
