About the role:

Requirements:

• Diploma in Procurement and Supply Management or equivalent
• At least 2 years of hands-on experience in procurement or purchasing specifically in the F&B industry.
• Proficient in MS office and SAP.
• Team player with good interpersonal and communication skills.

1. AUTHORITY

• In charge of the operational procurement process for ship’s requirements.

2. GENERAL RESPONSIBILITY / TASK DESCRIPTION



▪ Negotiate / communicate with suppliers specifying quality, quantity, and delivery schedules

▪ Schedule, arrange, and follow-up on logistics to ensure cost effective and timely delivery of

items on board

▪ Monitor schedules of the assigned group of vessels to optimize deliveries on board

▪ Proactively participate in department meetings and other activities



3. EXECUTION

▪ Processing ship’s requisitions via the defined in Company Procurement procedures

▪ Evaluate bids and make recommendations based on commercial and technical factors

▪ Create and send purchase orders after approval

▪ Prepare items for shipment, arrange for transportation of product and coordinate shipments of

supplies to ships

▪ Update good receipt for each order

▪ Processing of invoices belonging to the orders she/he has created and/or are related to her/his

group of vessels

▪ Liaise between suppliers, relevant internal departments and vessels

▪ Other procurement tasks as delegated by the Procurement Manager

▪ Interacts with ships to identify and meet requirements / problem resolution and to accommodate

short lead-time orders

▪ Request and process vessel feedback on quality and timing of deliveries of goods and services

▪ Provide information to the Procurement Manager on various monthly / weekly reports as

relevant

▪ Coordinate with appointed freight forwarder and monitor stock list at regular intervals

▪ Ensure that Procurement policies and standard procedures are adhered to at all times

4. REPORTING LINE (FUNCTION REPORTS TO)

• The Procurement Executive reports to the Procurement Manager.  

5. Requirements:

• Degree, Diploma or equivalent education with at least 2 years experience in Maritime industry
• Mature, meticulous, proactive, resourceful & hands-on
• Strong communication & negotiation skill - Good spoken English required
• Ability to prioritize workload & meet deadlines
• Good IT skill - Procurment operating system skill
• Good team player and able to work well under pressure in a fas-paced environment

Responsibilities

• Manage and issue purchase orders (POs) for both direct and indirect materials, ensuring timely delivery to meet manufacturing and office needs.
• Collaborate with the Quality Assurance team to confirm that all purchased materials meet the required specifications and quality standards.
• Work closely with the Planning team to proactively address potential shortages or urgent needs, avoiding last-minute rushes for critical materials.
• Negotiate with suppliers and vendors to secure favourable pricing, ensuring competitive costs and long-term partnerships.
• Monitor supplier performance by tracking delivery timelines and product quality, ensuring consistent and uninterrupted material supply for production.
• Identify and source alternative suppliers to implement cost-saving strategies and minimize potential stock obsolescence or overstocking.

Requirements:

• At least 1 year of experience in purchasing and procurement, ideally in a manufacturing environment.
• Strong negotiation skills with the ability to establish strategic partnerships and manage supplier relationships effectively.
• Knowledge of inventory management, material specifications, and cost-saving initiatives.
• Proficient in using purchasing systems and tools for order processing, price management, and generating reports.
