• Identify and investigate potential issues at service touch points and intervene to perform service recovery with stakeholder(s), if applicable, to propose solution(s) to address the issues.
• Assist with investigations and mitigate the situation by providing favourable solution(s).
• Compile and analyse the compliments and complaints to provide learning opportunities for library colleagues.
• Implement, support and monitor the service quality activities, e.g. service awareness campaigns, forums, and awards.
• Supervise and assist in collection maintenance and library facilities.
• Train, manage, and participate in the assessment of a pool of student assistants.
• Provide a range of service desk and after office hours services to users in the libraries during the opening hours.
• Perform maintenance of the libraries including basic troubleshooting of equipment and working condition of library facilities.

Qualifications and competencies:

• A recognized Bachelor’s degree or diploma (in any field).
• Minimum of 3 years work experience in customer service-related industry.
• Proficient in MS Office Word, Excel and Powerpoint. Salary range between $3,000 - $3,600, depending on qualifications and experience.
• Experience in operations, customer service or communications role in academic libraries or large libraries.
• Experience in executing innovation-driven or process improvements projects.
• Experience in developing communication plans or stakeholder management in education industry.
• Service-oriented mindset with focus on customer service.
• Strong communication skills in customer interactions, presentation to stakeholders and training delivery.
• Organized and detail-oriented with ability to analyze processes and identify areas for improvements.
• Able to work independently and collaboratively in a team.
• Able to adapt and thrive in rapidly changing, complex and ambiguous environment.
• Familiarity with library management systems and some knowledge in data analysis will be added advantage.

Job Description:

• Responsible for full spectrum of the supply chain including purchasing process (sourcing, quotation enquiry, price negotiation, placement of orders and delivery arrangement), logistics coordination and management and inventory monitoring.
• Issue purchase orders (PO) in the Inventory System to suppliers for the purchase of key components, materials and consumables.
• Support transactional activities within the Inventory System such as updating inventory receiving and issuance, receiving purchase orders, suppliers' invoices verification as a backup function, and liaising with Finance Team
• Analyse inventory and implement solutions to improve inventory turnover.
• Ensure the smooth supply chain operations of the company, identifying gaps and inefficiencies in current processes, and implementing process changes and improvements to improve productivity, quality, and efficiency.
• Logistics coordination for timely arrival of components and expediting orders with planning.
• Maintain accurate records of procurement activities, including contracts, purchase orders, and supplier performance.
• Ensure proper documentation and filing as per ISO guidelines.
• Develop and maintain relationships with suppliers, negotiate prices and terms of contracts, and monitor supplier performance.
• Sourcing suppliers and purchase electrical equipment, spare parts, and other electronic components.
• Responsible for ensuring that customer needs are met through timely and accurate order fulfilment, effective communication, and excellent customer service.
• Manage inventory levels to ensure adequate supply without excessive stockpiling and conduct stock take semi-annually.
• Identify and implement opportunities for cost savings and process improvement in the procurement function.
• Collaborate with cross-functional teams to ensure alignment between procurement activities and overall project goals.
• Any ad-hoc duties assigned by the supervisor.

Job requirements:

• Minimum Diploma in Business Administration, Supply Chain Management, or a related field.
• At least 2 years of relevant work experience.
• Industry knowledge of maritime and offshore works including a basic understanding of electrical and mechanical components would be preferred.
• Possess electrical knowledge, experience in dealing with freight forwarders and coming from marine & offshore industry will be an added advantage.
• Familiar with MuRho Inventory management system.
