The Transportation Operations Coordinator is responsible for  ensuring the smooth operation of our logistical activities by driving carrier and service provider performance through collaboration and coordination of processes, carriers, and facilities. Ensures performance and lowest cost transportation by analyzing company and customer needs, researching transportation methods and auditing carrier costs and performances.

Key Responsibilities:

• Build customer relationship and provide excellent customer service, understanding their needs and goals
• Identify and address issues that may impact customer satisfaction and work on solutions to improve the overall customer experience
• Manage the flow of goods and materials by coordinating with customers, 3pls, carriers, warehouses,  and other stakeholders to streamline the supply chain process to meet KPIs and OKRs as agreed to with the client, i.e OTIF
• Arrange transportation for shipments, considering factors such as cost, transit time, and mode of transport. Coordinate with freight forwarders, carriers, and haulage companies to schedule pickups and deliveries as and when required
• Drive carrier and service provider performance for the Hub and Spoke locations
• Responsible for transportation management of warehouse inbound and outbound activities, warehouse and trailer capacity management
• Support the collection and interpretation of data, provides data analytics to improve the transportation operational efficiency of their assigned warehouse location
• Coordinate and collaborate  with multiple parties including customer stakeholders, warehouses, carriers, service providers onsite team members to resolve any issues that may arise
• Serve as the main point of contact for internal departments, external vendors, and customers regarding logistics-related inquiries. Communicate shipment status updates and address any issues or concerns promptly
• Acts as a liaison between Google’s warehouse vendor and carrier
• Support domestic and international shipments as well as ensuring Google’s partner carriers are aware of requirements for warehouse operations and any critical shipments needing attention
• Monitor inbound and outbound deliveries ensuring it reaches destination as requested
• Proactively approach and resolve bottlenecks in the shipping and receiving processes
• Develop and monitor carrier KPIs and metrics for transportation analysis
• Identify and suggest corrective actions for ongoing delivery issues/opportunities and SOPs

The ESC Transportation Operations Manager will work with logistics business leads to define and manage roadmaps and manage operations to effectively deliver on the ESC program objectives. Review impacts to logistics and develop mitigation strategies. Influence decisions and change management through collaboration, leadership and a customer-focused approach. Provides functional subject matter expertise and anticipates customer's needs. Interface with multiple vendors and partners to gather and synthesize detailed business requirements.

• Conduct post-implementation reviews (i.e., evaluate performance against defined project goals)
• Analyze late orders and / or damanges and provide root cause analysis
• Support RFI / RFQ processes and benchmarking
• Manage regional and local transportation matters as they arise and as required by the customer
• Collaborate with ESC project team to build consistency in all processes and procedures
• Stay up to date with the latest trends, benchmarks, best practices and advancements in supply chain, including emerging tools, techniques and best practices and apply new knowledge to improve processes

Provide operational support and process export documentation (billing invoices, reports and airway bill) accurately and promptly to achieve OPS objective and meet airlines departure​​​ and helping branch in complying  with Customs and any other government agencies’ regulations.

• Process export documentation accurately and timely for customers and meet Customers/OPS requirements and Airlines flight departure cut-off.

• Ensure all documentations (billing invoices, reports, AWBs, etc.) are complete, scan in e.doc, properly indicated and accompany with shipments.

• Check that all shipments checklists are completed, scanned, filed, and attached with the shipments as per IATA rules and regulations.

• To meet all Pharmaceutical & Healthcare requirement as per GDP/GDPMDS regulations and directives as required.

• Complete DAYEND closing report at end of the day.

• Review shipment events data and shipment manifests are update timely and accurately to meet Operational Performance Audit objective.

• Ensure all shipments pre-alert documentations are send to customers and destination offices promptly.

• Co-ordinate with Airlines terminal and warehouse vendor staff for any shipment dispute, discrepancy etc.

• Communicate with customer service team on any issues pertaining to rates, destination, and shipping instruction errors.

• Provide 24 hrs service to include after office hours, holidays, and weekends for Urgent/Aircraft on Ground (AOG) shipments arrangements.

• Required to perform shift work and rostered duties.

• Declare all different types of AOG customers shipping permits compliance with customs rules and regulations.

• Take up additional tasks as required meeting department’s needs.

To support the Branch in complying in Customs and any other government agencies’ regulations

Job Descriptions:

1. Declare all different types of shipping permits.
2. Applying Ordinary and Preferential Certification of Origin. (COO & PCO)
3. Coordinate with the respective departments on supporting documentation as required. Ensuring all documents are in accordance and timeline to provide approved customs entry declarations with help of pre-customs entry, checklist, Asia Customs SOP and pre-alert database.
4. Attend to customs enquiries and secure the permit approval.
5. To monitor and ensure all Cargo Manifest Declarations reports are submitted timely to Singapore Customs for both Import and Export permits transactions.
6. Creating file and preparing billing invoice. To ensure data accurate and timely billing to customers.
7. Generating essential customers’ or other reports as required.
8. Updating Asia Customs SOP with customers’ requirements and expectations.
9. Adhering compliance to Expeditors policy and expectations.
10. Maintain Branch procedure on customs entry declarations.
11. Key Performance Indicators are met within customers’ requirements and fulfillment Singapore Customs / Competent Authorities rules and regulations.
12. Performing internal audit for customs filling.   

Working Hours :  (Shift Work required)

 5 days work week with 1 off day and 1 rest day (Sunday) within a calendar week 

 Roster   1            -             8:30 am – 6:00 pm ( 1 hour lunch break ) for 4 days
