Purpose of Job:

· Maintain office needs by providing administration support

· Provide fundraising administration support through proper records-keeping

Key responsibility areas

Administration Support

· Attend to incoming calls, emails, postal mails, walk-in, visitors and general enquiries

· Liaise with vendors to support purchase requisition of office supplies

· Responsible to source, negotiate and manage purchases for the Society

· Evaluate vendor’s quotation to ensure that they are in line with specifications required

· In charge of daily operational purchasing needs such as planning, issuing and following up on Purchase Orders delivery

· Provide other ad-hoc administrative support as assigned

Donor and Fundraising Administration Support

· Maintain records of sent and bounced donor mails and inform fundraising team for follow-up

· Verify that donation forms have been adequately completed

· Issue donation receipt for walk-in donors and donors who donate through mail

Finance Support

· Process petty cash reimbursement

Experience:

Minimum 2 years of administrative experience, preferably in a Social Service Organisation

Qualifications:

Diploma in Accounting related

Other Requirements:

· Basic proficiency in Microsoft Office Excel and Word

· Basic bookkeeping knowledge would be advantageous

Roles & Responsibilities

The Social Work Associate / Assistant will provide psycho-social assessment, social work intervention and support to clients and their families to resolve personal, social, emotional, and financial issues.

Duties and Responsibilities

Client Visitation

· Visit clients at their homes to understand their state of emotional and physical health

· Befriend clients and their families

· Accompany clients to medical appointments where required

· Advice clients on other available resources where appropriate

· Guide volunteers and acquaint them with clients during visitation

Client Engagement

· Follow up with non-active clients via phone calls or newsletters

· Encourage clients to participate in 365CPS’ programmes and services

Administrative Support

· Assist clients in applying for financial support from 365CPS

· Prepare reports on visitation updates

· Maintain database to manage details of clients

Job Requirements

· Diploma in Social Work, WSQ Diploma or Certificate in Social Service

· Preferably 1 to 2 years of relevant experience in social service sector

· A team player with good interpersonal and communication skills

· Patience with empathy and strong listening skills

· Proficient in Microsoft Office

• Plan and develop community outreach programmes and cancer education workshops.
• Connect clients with cancer to relevant resources and aid beyond 365CPS where appropriate.

Key responsibility areas

Community Nutrition

• Plan, develop and conduct educational programs and workshops, such as public health talks and cooking demonstrations.
• Engage the population to adopt healthy eating behaviour and healthy food choices in the community.

Nutrition Advocacy

• Create educational material about healthy eating habits through marketing collaterals e.g., quarterly newsletter, recipe books, blog posts, etc.

Food Service

• Support Social Service Centre’s kitchen menu revision and evaluation.
• Assist in kitchen food safety and hygiene audit to evaluate kitchen cleanliness.

Referral & External Stakeholder Liaison

• Refer clients to relevant information or resources specific to their needs, including referral to healthcare professionals where appropriate.
• Work closely with the clinical team to ensure best practice and high-quality care.

Requirements
