Job Responsibilities

Requirements

Job Description:

· Work directly with 1 of the company's C-level Executives to support all aspects of their daily work routine, keeping the advised of time-sensitive and priority issues, ensuring appropriate follow-up.

· Maintain the Executives’ calendars, including scheduling meetings, appointments, speaking engagements, global travel arrangements and expenses report. Exercise discretion in committing time and evaluating needs.

· Act as focal person for company events, staff onboarding, offboarding, Business Contingency Plan (BCP) coordinator and visitors/guests

· Receive, screen and direct incoming enquiries, visitors, mail and email with tact and diplomacy, as required.

· Exercise confidentiality, tact and diplomacy in supporting the executives.

· Organize division/ department/ external events, meetings, townhalls and provide administrative support to the Corporate Solutions teams.

· Participate in the development and implementation of secretarial standards, policies, and practices for the organization.

· Project management support for new initiatives.

· Other additional and/or alternative duties in any way to support the EXCO members.

Requirements:

· Minimum 10 years prior experience in supporting a senior executive/ management of multi-national organizations and fast-paced environment.

· A detail-oriented self-starter with excellent written and verbal communication skills.

· Someone who exhibits sound judgment with excellent organization and time-management skills.

· Resourceful, can-do attitude, a team player capable of cultivating productive working relationships

· Proficient in Microsoft Office, Outlook, Teams, as well as internet search.

· Excellent stakeholder management skills and communication skills.

· Familiar with digital platforms such as internet, social media and have a sense of different sources of information.

Job Description:

50% of time is spent on this role:

· Plan, organize and manage Tied Distribution events to motivate, reward and support TD. Events include recognition events, meetings, seminars and incentive trips. Events should be successfully executed to ensure that the agents will want to attend subsequently and for events that requires qualification, the agents should be motivated to continue to qualify annually on a recurring basis.

· Provide marketing support for TD challenges and initiatives. This include ensuring timely delivery of the sales & marketing collaterals and ensure eDMs are sent out promptly to promote the events. To work with in-house graphic designer on eDMs as much as possible to reduce design costs.

· To continuously learn and adapt to the new technological tools required e.g sharepoint to store and use the iKNOW site and FB Group to promote events.

· Support team mates on bigger scale events such as Annual Agency Awards, Recognition Microsite, Studio Photo Shoot and filming or as required.

· Other responsibilities include organizing ad-hoc events, if required.

40% of time is spent on this role

· Pre-administrative work such as TPM, liaising with security, technology, compliance, risk, procurement & legal is required when appointing vendors.

· Sourcing, evaluating and appointing external service providers such as emcs, production houses, vendors, photographers, videographers, creative agencies for event set up, logistical issues, etc. E.g backdrop, av equipment, public liabilities insurance, photo shoot, banquet set up. Ensure that the vendors meet the expectation set up in the requirements and are accountable to the deliverables of the event needed. This involves getting quotations and raising tenders, if required.

10% of time is spent on this role

· Raising purchase orders, complete goods received on Ariba.

· Compile, close and review the event expenses. To track each events expense and work within the budget given. Follow up with credit and debit, if required and non-cash incentives to be submitted to finance

Requirements:

· Education – Diploma, Degree or equivalent

· Experience – 2 to 3 years experience in marketing, events planning and social media marketing is an advantage

· Certifications/licenses – Experience or background in the insurance industry is preferred

· Proficient in MS Office: MS Word, Advance Excel (V-Lookup is a plus especially for registration / rsvp purposes, budgetary & mail merging). Basic powerpoint to do presentations. Knowledge of using MS sharepoint and basic video filming is an advantage.

· Character: Meticulous, proactive, resourceful with problem solving skills. Pleasant and good natured. A team player

· Overseas travel may be required for the job

To support team lead for insurance policy related payment processing; ensuring all transactions are processed timely and accurately and accounted for appropriately; liaising with relevant parties internally, banks, operational issues resolutions; assist in the process change, new initiative and implementation including user-acceptance testing.

Job Description:

• Ensure timely and accurate daily payment processing for policy related payments.
• Ensure all payments are processed and completed within the agreed SLA.
• Assist the Manager to ensure sound financial controls and operations efficiency.
• Liaise with various departments within AIA and banks on all insurance operation payment related transactional matters.
• Alert /escalate for any control weakness to the Manager.
• Assist in preparation of monthly payment statistical reports.
• Participate in ad-hoc projects as and when assigned.
• Regular clearing of long outstanding payable items and unreconciled bank open items.
• Perform quarterly balance sheet reconciliation. Follow up to ensure all transactions are accounted for. Investigate long aged items and exposed items for resolution.
• Key relationships other than those within reporting lines - All departments within AIA and external stakeholders eg Banks. All communication is expected to be able to communicate in a professional manner to both internal and external parties from time to time, based on factual events.

Requirements

· Education: Min. Diploma with emphasis on accountancy or finance

· Experience: Fresh graduates to 2 years of working experience in Finance department. More experienced candidates can be considered for more senior positions.

· Good interpersonal and communication (both verbal and written skills.

· Proficient in Microsoft Word, Excel and SAP

• Number of Active FSCs,
• New FSC Activity Ratio,
• Number of Premier Agents (MDRT), and
• Number of Quality agencies (Agency Performance Dashboard)

Engages Agency Leaders and producers regularly to build strong partnership relationships

Designs programs and incentives to direct the sales behavior of agency distributors towards achieving key result area objectives.

Enforces agency performance standards to promote business quality Identifies and groom aspiring agency producers to become agency leaders

This role also performs other responsibilities and duties periodically assigned by immediate manager in order to meet business requirements.

WHAT WE ARE LOOKING FOR

• Degree with 5 to 8 years of Managerial experience in Agency channel management
• M5, M9, M9A, HI, FLMI certifications preferable
• Knowledge of life insurance industry in Singapore and/or Asia
