Overview:

We are seeking a proactive and detail-oriented Administrative Assistant to join our team. The role will primarily involve providing support in various administrative and operational functions, including client onboarding, company incorporation, regulatory compliance, and internal reporting. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage multiple tasks effectively.

Responsibilities:

· Assist in due diligence processes before onboarding clients, ensuring compliance with regulatory requirements.

· Support clients in companies’ incorporation, coordinating with external partners and service providers.

· Conduct surveys and compile necessary information required by regulatory bodies such as MAS (Monetary Authority of Singapore).

· Prepare and maintain internal reports as required by team representatives or management.

· Liaise with service providers and stakeholders regarding Family Office and Variable Capital Company (VCC) matters, updating managers on the progress of ongoing projects.

· Assist with payment processes, such as for service providers, authorities, or staff claims, ensuring invoices are settled in a timely manner.

· Assist with other ad-hoc projects and administrative tasks as assigned.

As an Assistant Wealth Management professional at Abacus Asia Wealth Management, you will be crucial in supporting our Representatives/Portfolio Managers in delivering exceptional service to our clients. You will assist in various aspects of wealth management, from client relationship management to portfolio administration. Responsibilities:

• Assist in company operations and administration across all asset classes in investment portfolios.
• Maintain records of trade executions and portfolio performance assessments.
• Assist Representatives/Portfolio Managers in due diligence on investment opportunities, assessing market trends for investment decisions.
• Assist Representatives/Portfolio Managers in all phases of client relationship building, account maintenance, responding and reporting to clients’ inquiries promptly and professionally, and providing financial solutions to clients to ensure ongoing client satisfaction.
• Maintain accurate client records, documentation, and reports under industry regulations.
• Other Ad-hoc support for Family Offices, Variable Capital Companies, etc.

Requirements:

• Candidate must possess at least a Diploma/Professional Degree/ Bachelor's Degree, preferably in Finance, Business, Economics, and Accounting or a related field.
• Must have at least two years of working experience; experience in Banking/Financial Services (e.g., asset management, family office, variable capital company) will be an additional advantage.
• Detail-oriented with high accuracy, ability to work in a team-oriented environment, and a high degree of self-reliance and self-motivation when working independently.
• Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
• Required language(s): English, Mandarin (to handle queries and feedback from Mandarin-speaking counterparts regarding asset management matters).
