• Lead projects from requirements definition through deployment, identifying schedules, scopes, budget estimations, and implementation plans, including risk mitigation
• Coordinate internal and external resources to ensure that projects adhere to scope, schedule, and budget
• Analyze project status and, when necessary, revise the scope, schedule, or budget to ensure that project requirements can be met
• Establish and maintain relationships with relevant client stakeholders, providing day-to-day contact on project status and changes

Qualifications

• Preferably experienced in B2B insurance / insuretech
• Ownership and independent mindset: Ability to take initiative and work autonomously in a startup environment
• Bachelor's Degree or equivalent experience
• Strong business acumen in project planning and management
• Strong verbal, written, and organizational skills

Responsibilities

• Manage the CEO's calendar, prioritizing appointments, meetings, and deadlines.
• Schedule travel arrangements, including flights, accommodations, and ground transportation, ensuring seamless itineraries.
• Coordinate and prepare agendas for meetings, briefings, and presentations.
• Manage all incoming and outgoing communication for the CEO, including emails, phone calls, and written correspondence (may require some drafting and composition).
• Liaise with internal and external stakeholders on the CEO's behalf.
• Prepare presentations and reports as needed.
• Conduct research and compile information for the CEO.
• Manage expense reports and ensure adherence to company policies.
• Maintain a high level of confidentiality and discretion.
• Perform other ad-hoc administrative duties as required.

Qualifications

• Bachelor's degree or equivalent experience in business administration, executive assistance, or a related field (preferred).
• Minimum 5 years of experience as an Executive Assistant or similar role.
• Proven experience in calendar and travel management.
• Excellent communication, interpersonal, and organizational skills.
• Strong ability to prioritize, manage multiple tasks simultaneously, and meet deadlines.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to maintain strict confidentiality and discretion.
• Professional demeanor and appearance.

• Office Management:Oversee the day-to-day operations of all international offices, ensuring a clean, professional, and functional environment.
  Develop and implement efficient filing systems for physical and electronic documents.
  Coordinate and support decision making
  
• Travel and Logistics:Arrange travel itineraries and accommodations for staff traveling on business.
  Manage travel budgets and ensure compliance with company policies.
  Secure visas and work permits for international staff.
  
• Administrative Support:Provide administrative support to senior management, including scheduling meetings, managing calendars, and handling correspondence.
  Organize and coordinate internal and external events.
  Manage office budgets and prepare expense reports.
  Oversee the work of administrative staff and provide guidance and training.
  
• Global Coordination:Maintain communication and collaboration between international offices, fostering a cohesive and efficient work environment.
  Stay informed about local regulations and cultural norms in each office location.
  Identify and implement best practices for global office operations.
  
• Additional Responsibilities:Perform other duties as assigned.
