Responsibilities

• Support Executive and Manger to ensure timely renewal of contracts.
• Ensure information in the Maintenance database is up-to-date.
• Assist Executive and Manager to ensure preventive maintenance is performed according to stipulated schedule.
• Ensure service providers discharge their duties according to the terms and conditions of the service contracts.
• Ensure all the servicings done are captured in the maintenance database.
• Support Transport requests by utilizing driver’s time slots.
• Ensure all transport requests are entered into Optimo Route App.
• Ensure sufficient amount in the cash card to support every trip.
• Prepare vehicle for inspection prior to renewal of road tax.
• Timely renewal of insurance policy and road tax for vehicles.
• Arrange for necessary inspection prior to renewal of license / certificate for relevant equipment and system.
• All licenses / certificates to renewal before expiry.
• Ensure License / Certificate database is up-to-date.
• Work with Maintenance Team to housekeep maintenance bay fortnightly.
• Raise appropriate form to seek approval before disposal of condemned items.
• Arrange for Recyclable contractor to remove approved condemned items from site within stipulated time frame.
• Perform proper and timely filing in hardcopies and deposit in departmental cupboards and or softcopy in departmental Shared folder.
• Help Executive and Manager to source quotations for works / goods and award accordingly.
• Ensure goods deliver within stipulated timeline and tally with orders in terms of quantity and quality.
• Support the department’s administrative needs.
• Cover Reception counter in the absence of the Receptionist.
• Undertake any other duties assigned by the Senior Executive, Assistant Manager, Senior Manager or Head of Centre (HOC).

Donor Management

• Strategize and develop donation requirements to meet the needs of the Centre
• Identify potential donor sources, handle donor enquiries and match donors with suitable opportunities
• Foster strong relations with donors and stakeholders through engagements and appreciation
• Maintain the donors’ database
• Prepare and submit monthly donor reports
• Practise good stewardship and allocation of donations

Volunteer Management

• Strategize and development volunteer requirements to meet the needs of the Centre
• Identify potential volunteer sources and handle volunteer enquiries
• Oversee the full volunteer life cycle ranging from recruitment, screening/interview, matching, orientation, deployment, review/feedback, appreciation, training and exit
• Foster strong relations with volunteers and stakeholders through care support and engagements
• Maintain the volunteer management system and time-banking portal
• Prepare and submit monthly volunteer reports

• Event Management
• Support in the planning and organizing of key centre-level events for residents and stakeholders
• Drive and ensure smooth operations of key events
• Involve in media liaison and coordination of corporate and media-related events, such as filming and interviews

Administrative and Other Work

• Support in the preparation of departmental plans, reports and related admin work
• Participate in key strategic meetings with internal and external stakeholders
• Undertake any other duties assigned by Senior Executive – CP and Head of Centre

Monitor, prepare and submit statistical reports and other reports as required, to government ministries, Eunos Nursing Home management and MWS Secretariat

• Prepare and submit any other reports and minutes as directed by the Supervisor
• Assist the Nursing Officers in processing Quality Assurance Audits according to the nursing and medical standards of the Home
• Monitor and stock take supplies for the Medical and Nursing sections. Prepare requisition forms for submission to the Store Officer. Track and maintain a record of all requisition forms
• Collate reports from Nursing, Medical and Therapy staff to the Social Worker for MDTC
• Collate list of residents, confirm the schedule and prepare Review Forms for Consultants, therapists and volunteer doctors. Ensure that the Review Forms are accurately completed for submission to the Director
• Monitor and record staff movement. Report to the Supervisor on anticipated shortfall or excess of care staff
• Maintain an up-to-date record of the duty rosters for Nursing staff, Nursing Aides and Health Attendants
• Generate the Residents’ In-Patient Medication Records (IMR) at end of each month
• Ensure that all dispatch nursing documents and items are accurately recorded and fully discharged
• Process all incoming and outgoing mail, email and faxes
• Maintain a record and ensure that all equipment in the Nursing and Medical Sections are regularly serviced and in good working conditions at all times; and
• Carry out any other duties assigned by Nursing Officer / DON

Responsibilities:

Referrals & Admissions

• Assessment of all referrals for admission / rejection according to criteria, and flag up any outstanding issues with Medical Social Worker / Senior Medical Social Worker for discussion
• Assists in consolidating and providing tracking of updated information for referral assessment as requested
• Works with and supports Medical Social Worker in preparation of admission documents
• Supports Medical Social Worker / Senior Medical Social Worker during resident’s admission, in following up with processing activation of financial payout schemes

Psychosocial Support and Groupwork

• Assists in simple case management of residents with non-complex family dynamics or social issues
• Works with Community and Partnerships, and Allied Health professionals to develop care plan initiatives for resident/family engagement
• Assists the Medical Social Worker in Groupwork Therapy Sessions

Case Conference and Discharge

• Prepares and consolidates information ahead of case conference
• Prepares supporting documents for referral to step down care

Responsibilities

• Attend to all incoming calls and redirect to the respective officer in-charge.
• To make timely and important announcements through the Public Address (PA) system to notify all staff, as and when required.
• Maintain ENH’s Visitor Management Software.
• Ensure that all visitors adhere to prevailing Safe Management Measures by AIC/MOH, if applicable.
• To handle any queries, feedback from visitors and to escalate any concerns / incidents to Senior Manager - Operations for immediate assistance or contact SPF directly, should the situation warrant any timely intervention.
• Receive and direct visitors, contractors, and delivery personnel promptly with adherence to MOH/AIC’s prevailing advisory, if applicable.
• Ensure proper recording of visitors (NOKs, Sponsors/Donors, Volunteers) with Visitor Management system and staff movement.
• Perform administrative / clerical duties including photocopying, distributing all incoming and outgoing mails, incoming faxes, requisition of stationeries / office supplies and ordering of staff name tag / name stamp / company chop / name card / fruit basket etc.
• Ensure all medical specimens are dispatched in a timely manner daily, when required.
• Receive deliveries include letters, goods (including online purchases by staff) on behalf of various stalk holders.
• Issue meeting room key based on reservation and ensure all meeting rooms are locked after use. Ensure all whiteboard markers in the meeting rooms are usable.
• Support Finance department in collection of payment by NOKs / residents.
• Management of keys in the Key Press at the Reception counter as well as aircon / projector remote control for the meeting rooms and mouse and power cable for shared laptop in the meeting room. Maintain proper records for issuance of room key with related items eg. Remote control etc.
• Support Transport request with Optimo Route software. Liaise with driver for ad hoc / urgent request.
• Tracking issuance of ART kits.
• Generate monthly report for Postage stamp and ART kits.
• Update of phone list.
