The Job

My client, a single-family office, is seeking an executive assistant based in Singapore. The single-family office is heavily involved in education, philanthropy, nature conservation, healthcare, scientific research, and other causes.

Position Overview

The Executive Assistant role is based in Singapore and will be part of a broader team that has a presence in Asia and the UK. This job role encompasses extensive responsibilities related to executive assistance, administrative tasks, travel planning & coordination, and lifestyle management. The Executive Assistant is required to work independently, performing a wide range of complex and confidential administrative support duties with an adaptable and flexible “can-do” attitude.

Role & Responsibilities

Administrative

• Calendar scheduling & management
• Meetings scheduling, assisting preparation, notes management & follow-ups
• Project planning, scheduling, coordination, follow-ups, and management
• Assist in the preparation of documents, presentations, and reports

Household Administration

• Sourcing, shopping & returns – for Principals, children, immediate family members & guests
• Household purchases
• Maintaining an up-to-date record of personal data (passport, residency card, photographs, driving license, tracking period of stay on residency requirements, etc)
• Medical insurance policy enrolment/renewal; filing of medical claims, tracking reimbursement
• Oversee scheduled and ad hoc vehicle maintenance, maintain valid motor insurance, road tax & roadside recovery services
• Planning, scheduling, organizing, coordinating, and executing all matters relating to children’s classes & other activities
• Planning, arranging, scheduling, coordinating, and executing all transportation requirements for the Principals & children
• All domestic & international travel planning, scheduling, arranging, coordinating, execution & management for the Principals, children, immediate family members & guests
• Planning, arranging, scheduling, coordinating, execution & management of all lifestyle-related items such as movies, shows, dining, events
• Management of all subscriptions, loyalty programmes
• Planning, arranging, scheduling, coordinating, executing and management of all health & medical related matters including insurance

Requirements

• Degree in business administration, management, or its equivalent
• At least 10 years of relevant experience preferably in the hospitability industry or other family offices
• Exceptional Organizational Skills: effectively manage calendars, schedules, and multiple tasks simultaneously.
• Excellent Communication Skills: clear and concise communication is essential for interacting with executives, colleagues, and other stakeholders. Both verbal and written communication skills are important for drafting emails, reports, and other correspondence.
• Attention to Detail: the ability to pay close attention to detail is vital for maintaining accurate records, scheduling meetings flawlessly, and ensuring that all tasks are completed to the highest standard.
• Time Management: having to juggle numerous responsibilities, prioritization and time management skills are essential for meeting deadlines and handling unexpected tasks effectively.
• Adaptability: must be flexible and adaptable to changing priorities and last-minute requests. The ability to remain calm under pressure and adjust plans quickly is crucial in this role.
• Discretion and Confidentiality: this role often handles sensitive information, the ability to exercise discretion and maintain confidentiality at all times is of utmost importance.
• Problem-Solving Skills: the ability to identify issues, develop solutions, and resolve problems independently is valuable in this role.

Candidates with prior experience with Singapore Airlines as a flight attendant or other family offices as a EA/PA are highly preferred.

We are looking for a Executive, Infrastructure and Network to join the team.

As an Executive for infrastructure and network, you will respond to requests for technical assistance in person whenever necessary. You will also be expected to facilitate end user training to ensure proper usage of IT equipment.

Responsibilities:

· Respond to requests for technical assistance in person, phone, email, onsite support or remote access.

· Installing, configuring, testing and maintaining network-related operating systems, applications, software and management tools.

· Identify and escalate situations requiring urgent attention.

· Track and route problems, requests and document solutions along with logging all help desk interaction after every issue if necessary.

· Trouble shooting, diagnosing and resolving hardware, software and other network system problems.

· Assist with the management and maintenance of the network infrastructure, such as switches and Wi-Fi access points.

· Assist in creating network and email accounts for new users in the company.

· In charge of setting up computers for new users and guarantees fast delivery of tools to users in various locations if needed.

· Conduct IT audit and certification process.

· Assist in drafting IT security and governance SOPs.

· Facilitate end-user training to ensure the correct usage of IT equipment for users.

· Any other projects that are assigned by the manager.

Job Requirements:

· Higher Nitec or Diploma in IT, Engineering or of a similar discipline.

· At least 3 years of experience in a service desk or helpdesk environment.

· Proactive, resourceful and willing to learn and take on responsibilities.

· Team player with strong analytical, communication, interpersonal and organisational abilities.

· Capable of working independently and under time constraints.

· Proficient in the use of Microsoft Office applications.

Job Description & Requirements

The Banquet Executive works closely with the F&B Manager/Director to perform office administrative functions and operation service task for the all F&B Department and ensures that all SOP standards are met.

Key responsibilities

• To monitor restaurants and banquet operations stocks and/or inventory such as menus, tent cards etc and ensure they are in good condition for F&B operations team and guests to use.
• Transmits any orders or decisions taken by the F&B Manager promptly to team members as per instructions such as executing all in-house and third party outlets’ promotions or corporate initiatives.
• Organizes and files all F&B documents so that they are readily available on request for answering queries or preparing reports.
• Ensure service delivery standards in line with SOPs and ensure conformance by carrying out SOP audits and follow-up
• Take care of F&B services and provide relevant correspondence to guest queries
• Be familiar with Food and Beverage Operation functionality and other related task
• Performs related duties and project as assigned by F&B Manager
• Participate and assist F&B Manager in all meetings relevant to the department
• To comply with all company and local laws for all F &B services including restaurants and catering licensing maintenance, renewals.
• To monitor and take corrective action to reduce waste, misuse and breakage
• Work with procurement for Restaurants and Banquet Operations on all operations related item

• To comply with all company and local laws for all F &B services including restaurants and catering licensing maintenance, renewals.

• Work with procurement for Restaurants and Banquet Operations be it wedding favors, gifts, tent cards, etc and ensure it is within budget through the MPS system
• In-charge of hotel and banquet events’ flower arrangement and decoration according to Banquet Operations’ instructions
• And other duties as assigned by the Restaurant Manager/F&B Manager/F&B Management Team to assist on other outlets duty, off day will be based on the overall duty roster.
