We are seeking a Part-Time Accounts Admin (3 days a week) to support our finance and administrative functions. This role involves key responsibilities in accounts receivable, accounts payable, and providing administrative support within our company.

Job Responsibilities:

• Preparation of Reports: Compile and manage sales reports, AR aging reports, and other financial documents.
• Accounts Receivable: Prepare AR statements and track outstanding accounts.
• Invoicing: Issue monthly invoices to clients and maintain accurate records.
• Administrative Support: Assist with any additional tasks as assigned by the direct report.

Job Requirements:

• Minimum Qualifications: 'O' Level / CAT / LCCI certification or equivalent.
• Preferably 1-2 years of relevant work experience in accounts or administrative roles.
• Familiarity with accounting software and Microsoft Office applications (e.g., Excel) is preferred.

• Assist in reviewing and verifying GST compliance (billing related only) and accuracy.
• Follow up with customers on overdue payments and outstanding invoices.
• Participate in AR aging meetings with key stakeholders, providing support in data preparation and analysis.
• Cross-check audit confirmations with data in the accounting system to ensure consistency.
• Assist in preparing the monthly profit & loss breakdown by department for internal reporting.
• Provide support in the preparation of balance sheet presentation slides for management review.
• Review and approve balance sheet schedules, ensuring long-standing items are followed up and resolved.
• Review and approve journal entries to ensure accuracy and compliance with accounting standards.
• Perform weekly payment checks, ensuring timely and accurate disbursements.
• Support various ad-hoc tasks and duties as assigned by the finance team.

Responsibilities

• Ensure matching procedure is in place for payments processing purposes
• Resolve all invoices discrepancies and respond to enquiries on payment status
• Monitor and prioritize invoices for urgent payments

• Assist the Finance Manager and team in any ad hoc requirements or projects
• Assist in yearly stock take
