**Title: Senior Executive, Administrative**
**Job Summary:**
As a Senior Executive, Administrative, you will play a critical role in supporting senior management and ensuring the smooth operation of administrative functions within the organization. You will be responsible for a wide range of tasks, including managing executive schedules, coordinating meetings and events, handling confidential information, and providing high-level administrative support. The ideal candidate will possess exceptional organizational skills, attention to detail, and the ability to work independently in a fast-paced environment.
**Responsibilities:**
1. **Executive Support:**
- Provide comprehensive administrative support to senior executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents on behalf of senior management.
- Handle incoming communications (emails, phone calls, and mail) and prioritize responses as necessary.
2. **Meeting and Event Coordination:**
- Plan and coordinate meetings, conferences, and events, including arranging logistics, preparing agendas, and ensuring all necessary materials are available.
- Attend meetings to take minutes, track action items, and follow up on outstanding tasks.
3. **Office Management:**
- Oversee day-to-day office operations, ensuring that the office runs smoothly and efficiently.
- Maintain office supplies inventory, place orders as needed, and manage relationships with suppliers and service providers.
- Ensure the office environment is clean, organized, and conducive to productivity.
4. **Confidential Information Handling:**
- Manage and protect sensitive and confidential information with the utmost discretion and professionalism.
- Maintain and organize confidential files and records, ensuring they are secure and easily accessible when needed.
5. **Project Management:**
- Assist in the planning and execution of special projects and initiatives as assigned by senior management.
- Track project progress, manage timelines, and ensure deliverables are completed on schedule.
6. **Communication and Coordination:**
- Act as a liaison between senior management and internal/external stakeholders, ensuring clear and effective communication.
- Coordinate with various departments to gather information, prepare reports, and facilitate cross-functional collaboration.
7. **Administrative Support:**
- Perform general administrative tasks, such as filing, photocopying, scanning, and data entry.
- Manage expense reports and reimbursement processes for senior executives.
- Assist with onboarding new employees and ensuring they have the necessary resources and information.
**Qualifications:**
- Bachelor's degree in Business Administration, Management, or a related field.
- 5+ years of experience in an administrative or executive support role, preferably at a senior level.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
