As a Director’s Assistant, you will play a meaningful role in supporting the Director in both administrative and creative aspects of production. • Assist Directors with treatment research for visual and music references during project pitches.

Job Summary

The Assistant Director (Finance) is a key member of the management team. He/ she will report to the CEO and be responsible for the full spectrum of financial accounting and compliance requirements of HEB, overseeing and supervising the Finance team to ensure effective governance and adherence to the finance standards.

Key Responsibilities:

Financial Oversight and Review:

The incumbent will be responsible for budgeting, financial forecasting, preparing and reviewing monthly and annual financial reports, goods and services tax submissions, and facilitating audits for temples and units administered by Hindu Endowments Board. He/she will be responsible for ensuring the accuracy and completeness of daily sales and collection records, which includes verifying bank transactions and reconciling control accounts through the Finance Management Systems. He/she will manage grants, donations and endowment funds, ensuring compliance to relevant policies and regulations.

Financial Reporting and Analysis:

He /She will be reviewing and verifying financial reports and ledgers, as well as reconciling bank accounts and inter-endowment balances, and presenting Management Information System (MIS) reports at Board and Management meetings. These accountabilities will be for all operating units under the Hindu Endowments Board.

Procurement:

He /She will enforce compliance of procurement processes, including tenders and small value purchases, overseeing compliance of open and fair procurement processes. The finance team will thereafter manage payments, track assets and depreciation, and manage vendor relationships. This will include the need to maintain records related to gold and silver assets.

Compliance and Audit:

Compliance is a key function of this role. It involves conducting internal audits, implementing controls and providing training to temple administrators on financial processes and systems. Additionally, you will provide support for conduct of external and special audits.

The ideal candidate will possess strong interpersonal skills, excellent communication and collaboration abilities. Qualifications and Experience:

• Hands-on as well as manage the upkeep of buildings, equipment and supplies to meet health and safety standards;
• Inspect buildings’ structures to determine and implement the need for repairs;

• Supervise foreign staff facilities staff (handy-men) and external contractors;
• Control activities like waste disposal, building security etc.;

Job Overview

Assists the Cluster Director of Sales and Marketing in management of all sales activities and events including direct sales, sales solicitation, sales administration, public relations and management of the sale team.

Your Day-to-Day Job Responsibilities:

FINANCIAL RETURNS:

• Contribute towards the Annual Budgeted Plan
• Assists Cluster Director of Sales & Marketing in producing, implementing and monitoring action plans to ensure Sales and Revenue Plan objectives are achieved
• Analyses current and potential markets/trends, coordinates all activities to maintain and increase revenue through added business volume and increased rate
• Collaborate with Cluster Director of Sales & Marketing in the preparation for key reports to respective stakeholders and management of the Department’s approved budget

Creates and implements special programmes to achieve greater productivity through:

o Increasing average rate

o Increasing occupancy

o Increasing base business volume for current and forward months

o Increasing business volume during need periods

o Increasing food and beverage sales as per the allocated targets

• Manages key accounts and support team members when necessary
• Oversees the selling and servicing of corporate and group business
• Co-ordinates the development of all promotional material
• Monitors competitor activities and share market insights
• Plans and executes sales trips to major geo markets when required by Cluster Director of Sales & Marketing
• Tabulate and updating monthly Sales reports and forecast
• Establishes and continuously updates mailing lists

PEOPLE:

• Procures new and repeat business for the hotel by monitoring contact with airlines, travel agencies, commercial houses, private clubs and professional associations within local, domestic and key international markets. Maintains contact with planners, corporate accounts, incentive buyers, airlines and wholesalers, through personal sales calls, telephone contacts and written communications
• Provides direction on and conducts market research
• Maintains close liaison with Regional/ Corporate Sales teams and those of other IHG hotels to ensure the hotel receives proper corporate consideration, direction and support
• Attends major travel events to promote and increase sales for the hotel
• Under the guidance of the Cluster Director of Sales & Marketing, directs all sales activities and reports for Senior Sales Managers, Sales Managers and Sales Executives to ensure they meet their set targets for the year
• Works with the Cluster Director of Sales & Marketing on manpower planning and management needs

GUEST EXPERIENCE:

• Meets with guests from corporate/major producers/organizers of big events staying in the hotel to ensure customer satisfaction

RESPONSIBLE BUSINESS:

• Identify operational issues that reduce the effectiveness of sales activities and overall hotel sales performance and work with appropriate department on solutions
• Develop awareness and reputation of the hotel and the brand in the local community

What do we need from You

• Bachelor's Degree in Sales, Marketing, or related field, with 3 years' of relevant experience or an equivalent combination of education and work-related experience
• Demostrated ability to interact with customers, employees and third parties that reflects highly on the hotel, the brand and the Company
• Proficient in the use of Microsoft Office
