PRIMARY OBJECTIVES:

The Office Administrator is responsible for assisting to oversee all Office Administration related duties, projects and processes within the Singapore office and supporting overall office administration including day-to-day office operation, maintenance, new staff commencement and on-boarding process support. As well as providing high level professional administrative support for any Executives that are travelling while working from the Singapore office.

PRINCIPAL RESPONSIBILITIES: (Include but not limited to:)

• Serve as a first point of contact for staff and guests, and field questions by greeting, welcoming, directing and announcing them appropriately
• Maintain a good relationship with vendors, service/delivery personnel and building management team
• Administration duties as required for visiting Executives including but not limited to:

1. Travel coordination assistance or bookings in Singapore
2. Meeting minute taking and organization
3. Calendar assistance
4. Printing and collating
   

• Responsible for all general office equipment, supplies and stationery
• Office Event organisation including end of year celebration and once monthly all hands meetings.
• Assisting with Employee relations events throughout the year in conjunction with HR
• Manage all incoming and outgoing mails, parcels; local & international
• To procure office equipment and office supplies which include sourcing and price negotiation, to ensure these services are cost-effective
• Filing, photocopying and archiving documents as required
• Assist with leasing and tenancy matters where required
• Servicing meetings with beverages as required
• Assist with onboarding plans for new staff members
• Activate and de-activate land and mobile lines for employees
• Supporting HR to conduct clearance for exiting employees ensuring the smooth handover of office equipment and information
• Assistance in administrative initiatives and upholding procedures ensuring compliance with office policies
• Process & track payment for all invoices
• Any other duties as and when assigned

Responsibilities

· Assist M & E team with assembly and disassembly of TBM.

· All aspects of TBM operation including maintenance of line and grade of the tunnel while steering the TBM, as well as operation of the segment erector and annular grouting systems.

· Undertake cutterhead and tool inspection during the drive, take charge of emergency situations within the TBM.

· Identify and communicate any and all working environment safety hazards.

Requirements

· Minimum 10 years of experience in Tunnelling industry with TBM.

· Sufficient knowledge on handling TBM operation within given working parameters.

· Experience with TBM machine guidance systems and operating TBM under variable ground condition.

· Diploma or Degree in Electrical/Mechanical Engineering.

· Possess certificate in Building Construction Supervisors Safety Course (BCSS) and Building Construction Supervisors Safety Course (BCSS-T), Supervise Work in Confined Space Operations.

Job Description

- To construct and update 3D models with the latest information with BIM modelers

- To check and ensure model quality, and to maintain the model to be the latest or certain information versions determined by the BIM manger

- To check, report, and resolve clashes • To lead drafting with the latest models

Requirement

- Diploma or equivalent in Electrical, Mechanical or Building Services, Architectural or Structural Engineering Construction Management with more than 3 years of working experience in construction, design, drafting and/or coordination (services).

- Formally trained in BIM (Specialist Diploma or BCAA or equivalent Modelling Training certification), preferably with at least 1 year of experience in services coordination using BIM or BIM management and modelling experience in a design, engineering or construction firm for a large project.

- A minimum of 1 BIM Coordinator for each respective discipline of Architecture, Civil & Structure and E&M. The BIM Coordinator Architectural shall be the lead coordinator for all disciplines and including coordination with the novated Architectural consultant BIM personnel and SWCs.

Roles & Responsibilities

• Support site personnel on site administrative works.
• Maintain accurate records of petty cash transactions, including receipts and disbursements.
• Ensure proper authorization is obtained for petty cash usage.
• Reconcile and prepare petty cash summaries for monthly submission to finance.
• Serve as a backup for the Document Controller during their absence.
• Collect, review, and compile monthly claims (e.g., expense claims, project costs) for submission to the finance department.
• Ensure all claims are supported by proper documentation and comply with company policies.
• Schedule and organize meetings, site visits, and inspections with internal and external stakeholders.
• Track and report daily site activities, attendance, and manpower records.
• Liaise closely with head office for necessary documentation
• Maintain cleanliness and organization of the site office.
• Ensure proper functioning of office equipment and address maintenance needs.

Responsibilities:

• The general requirement and duty of the driver/dispatcher shall include but not limited to the following:
• To carry out the collection and delivery services in safe and timely manner. The driver/dispatcher will be equipped with a mobile phone and must remain contactable at all times by the Engineer and his team.
• The driver/dispatcher is required to collect the items for delivery within the same day, or as required by the Engineer, and deliver the items within 1 working day of collection of the items. The driver/dispatcher is expected to be deployed for overtime work due to urgent collection and/or deliveries, or as required by the Engineer.
• The Contractor is to reasonably anticipate and provide precautionary measures with due care to protect all documents, drawings, office equipment, and other miscellaneous parcels in transit against loss, damage, theft and inclement weather in the course of the delivery.

Requirement:

• Must possess Class 3 license with minimum 2 years driving experience of driving
• The driver/dispatcher shall be physically fit to carry the documents, drawings, office equipment, and other miscellaneous items.
• Must have maintained a good driving record with no suspension or revoke of driving license over the past 5 years.
• Possess basic vehicle fault identification knowledge and skills.

• To generate and update disciplinary models based on authority drawings
• To combine modles taken from multiple stakeholders
• To work closely with coordinators and engineers from relevant stakeholders and ensure the quilty of the models provided by them.
• To facilitate clash detection using the combined model to identifiy and report problems to engineers in advance
• To support BIM Manager in established work processes
• To create documents and construction drawings, including but not limited to shop drawings or Combined service drawings complying with the given CAD standards.
• To conduct the model quility assurance to ensure the flawless information conveyance in its geometric shape and its parameters(or attributes) based on 2D drawings, Sketches, documents, and others.
• To complete BIM deliverables on time as required.

• Support and execute end-to-end strategic sourcing activities as directed by the leads in accordance with the Procurement policy and deliver sourcing excellence throughout the process by analysing information, identifying requirements and opportunity, negotiating terms and conditions, and contracting products and/or services.

Requirement:

• 5 to 8 years of experience in Procurement in a collaborative, high-performance environment, and a minimum of 2+ years of experience with the Technology Sourcing/other> Procurement category.
• Experience of Technology Sourcing (Software/Hardware and IT services categories) will be highly preferred.
• Has strong data analysis capability, which will be used for category spending analysis.
• Be familiar with RFP process, has a good sense for tender document composition familiar with e-sourcing systems.
• Good communicator in English and other regional language.
