RESPONSIBILITIES

1. Support team in monitoring of seniors' physical and mental health and well-being: 

• Conduct visual check and take/monitor vital signs 
• Act on clients' irregular conditions, report to senior care staff or supervisor and caregiver, if necessary, record in communication notes, submit incident report where needed
• Identify changes in seniors' well-being/behaviours, report to caregivers, plan and monitor Individualised Care Plan (ICP)  with Physiotherapist or Occupational Therapist.
• Respond to emergency and accidents. Use of PPE if required
• Administer medications following SOP, after being trained 

2. Provide high level of customer service and engagement:

• Plan and lead in exercises and activities for the seniors
• Serve meals and teabreaks
• Provide personal care to seniors to carry out their routine activities, being attentive to their needs and ensure their safety in the centre.

3. Ensure safety and cleanliness:

• Assist seniors in toileting.
• Mobility and transfer safety after being trained
• Follow infection control procedures, maintain cleanliness and safety of the premise
• Provide support as a transport escort to send and fetch clients to and from centre, if BCLS-trained. 

Minimum 1 year of working experience in healthcare/eldercare setting is preferred or possess any of the following:

• Diploma in Healthcare Management or Gerontology
• WSQ Diploma in Social Service
• SGUS programme for Care and Coordination (Community Eldercare)
• WSQ Certificate in Healthcare (Therapist Support or Nursing)

Requirements:

• Required to attend to seniors who are mostly mandarin/dialect-speaking. Proficiency in mandarin and/or dialects is essential

You are responsible for providing support to the multidisciplinary clinical team in the administration of patient records and registration of caregiver training programme as part of HCA’s palliative care support programme. You will make home visits to obtain personal documents of caregivers, follow the guidelines on administering means testing for patients and submit the results of means testing to MOH. You will also assist in conducting patient feedback surveys and collating caregivers’ feedback in the patient care system.

The scope of work will generally encompass the following duties:

• Perform all administrative duties for home hospice patient records, including setting up of new files and closing of files
• Lend a listening ear to patients and their family members and alert the clinical team when patients or their family members have any social problems or needs e.g. bereavement and grief counselling
• Conduct means testing interviews with patients’ family members, including assessment of household income, computation of MOH subsidies and obtaining necessary documentation from them
• Administer any subsidies given to patients e.g. MOH, NCSS, NTUC Income, IDAPE etc
• Open a new case file for every registered patient and make the first phone call to introduce HCA services
• Check to ensure accuracy and confirm the home visit records provided by the doctor, nurses and the psychosocial services team
• Conduct the customer satisfaction survey with patients and collate their feedback
• Perform audit checks of all closed files to ensure that all visits are recorded, forms are correctly filled in by the clinical team and signed
• Provide regular weekly/ monthly reports
• Support the coordination and preparation of the Caregiver Training Programme at the Satellite Centres
• Support the Sunflower Remembrance events and other bereavement programmes
• Any other duties as assigned

Who you are

• Preferably with 5 years of relevant experience
• Good communication and interpersonal skills

• Able to work independently and in a team

Reporting to the Centre Manager, the incumbent for SCC Admin. Executive position will work closely with the Centre Manager to provide administration and operational support to BCARE Joy Connection (JOYC).

Job Responsibilities

I Administration

1. General administrative duties including but not limited to the following:

a. Photocopy, draft letters/ WhatsApp’s broadcast messages to parents and filing of documents.

b. Update and maintain displays on notice boards.

c. Maintain and update student’s database and custody of documents.

d. Liaise with Finance pertaining to centre fee collection matters, issue receipts and monthly update

excel collection reports to Finance for reconciliation.

e. Ensure all forms are adequate and create new forms where necessary.

f. Apply SCFA and withdrawal via the online SCFA portal.

g. Responsible for petty cash claims, month-end petty cash reports, and submitting the supporting

to Finance.

2. Provide good customer service through:

a. Answer phone calls and attend to walk-ins.

b. Communicate/ liaise via WhatsApp or phone calls with parents, students, tutors and service providers.

3. Prepare reports and documents:

a. Monthly compilation of centre fees.

b. Weekly and monthly updates of students’ attendance schedules.

4. Fetch students from the school or designated pick-up point.

III Operations and General Maintenance

5. Monitor Centre cleanliness.

6. In charge of buying tea breaks and assist in serving tea break and lunch.

7. Organise the storage space of the Centre with the help of teachers.

8. Replenish stationery, first aid box, ordering assessment books etc.

9. Manage facilities e.g. coordinate, liaise and schedule of general repair, maintenance and upkeep of the Centre e.g. air-cons, office equipment, fire extinguishers, housekeeping and storerooms.

10. Maintain and upkeep office equipment e.g. photocopier and desktops, projectors, telephones

etc.

11. Liaison for volunteer arrangements.

12. Work on any other areas that the Centre Manager may direct as and when necessary.

You will also help to solve basic office IT issues with the help of an IT vendor, as and when needed to optimize operational efficiency. You will work closely with various departments to gather requirements, design solutions, and ensure successful implementation.

Job Description:

• Discuss with internal end users / business stakeholders to develop a thorough understanding of their needs and identify, analyze and translate these business requirements into technical specifications.
• Develop and manage Management Information System reports (e.g Sales, Inventory, Staff and Outlet performance) and Dashboards, integrating ongoing requirements and new features based on requirements provided by business users.
• Improve systems by studying current processes; designing modifications. For example, automate processes by developing scripts and codes from MS SQL database to supplement SAP system.
• Design scripts to handle errors from source documents to check for accuracy and inconsistencies before upload to analysis platform.
• Provide user training and support to ensure effective utilization of dashboards and IT solutions.
• Provide daily SAP helpdesk support, troubleshoot on first level SAP issues for local operations and escalate to the vendor if neccesary.
• Provide on-going support on in-house CRM application, its analysis platform including tablets and network maintenance.
• Liaise closely with vendors and group IT in project implementation, application testing, supporting application patching and upgrades
• Maintenance knowledge of server and office equipment including laptop/printers and business email setup
• Day to day system support for software, hardware and network issues, if need arises
• Maintain system protocols by writing and updating procedures

Skills and Experience Required:

• Preferably at least 3 years of relevant working experience implementing or managing MS SQL, central data warehouse and managing analysis platform
• Experience in Python, SQL (database), DAX (Power BI), VBA
• Degree/Diploma in Computer Science/Information Technology preferred.
• Proven competency with systems and have been key-user or involvement in business systems implementation, upgrade or management
• Highly analytical and possess strong commercial acumen to crunch useful data on business performance.
• Programming experience in SAP /PowerBI/Power Query.
• Knowledge of Microsoft Windows, basic Network Administration, basic Hardware and Software knowledge
• Ability to prioritize tasks and manage time effectively.
