RESPONSIBILITIES AND MEANS

• The individual person will be responsible for their coordinating duties as well as administrative functions.
• Maintains and ensure the smooth running operation of all his/her accounts within the commercial section in consultation with the Director of Sales on all matters.
• The individual performs his/her duties within the teamwork defined by the group and hotel norms and by internal regulations as specified by the Director of Sales.
• Ensure all emails correspondence for the entire sales team (DOS + Sales Mgr.) are replied to within the same day; i.e. answer all sales emails during times of the sales team away on sales calls.
• Attend to all incoming sales telephone calls and action accordingly.
• Assist in the packing of materials when required, e.g. Hotel brochures, sales kits. Etc.
• Organize regular client visits in accordance to a predetermined plan.
• Organize and assist with Hotel Site Inspections and Entertainment when required.
• Prepares a tentative monthly schedule record all sales and other related activities for the preceding month.
• Assist in drawing up the marketing plan annually with the Director of Sales by providing market, clients and competitors intelligence.
• Assist the Director of Sales & Sales Manager in completing and submitting “M.I.S. Report” to Accor MIS office, relevant Corporate & Travel Agents production reports, analysis reports on a monthly, quarterly and Yearly basis
• Assist the Director of Sales in issuing Corporate Agreements and Travel Agents Contract Rates to be issued in a timely manner and approved by DOS and GM prior.
• Ensure that all feedback from guests are reviewed and investigated by Director of Sales & Sales Manager, then follow-up action taken.
• Provide reports / analysis for sales as requested by the Revenue Manager

Finance

• Manage and oversee the daily finance with outsource vendor, including month and end-

year processes, accounts payable/receivable, general ledger, payroll, budgeting,

cashflow forecasting, and revenue and expenditure variance analysis.

• Oversee controls, compliance, and ensure overall financials and corporate governance.

• Manage external audit and internal audit firms.

Asset Management

• Monitor office stocks, assets and work with Finance Manager to conduct inventory

count yearly.

• Manage assets register by tagging all assets.

• Regular review of asset disposal and submit recommendations for disposal in a timely

manner.

Procurement

• Ensure all Procurement policies and workflows are up to date and properly in place.

• Oversee the procurement team and provide direction and guidance to ensure

compliance with procurement policies and procurement framework, which are

benchmarked against best practices and governance and are well understood by user

departments.

• Review the vendors / services contracts to ensure they are prepared in accordance with

terms and conditions.

• Follow through the whole procurement process, preparation and drafting of tender etc.

• Manage and track all purchases to meet timeline and operational needs.

• Manage and oversee all contracts in the organisation.

Admin

• Update and maintain latest Admin policies and processes.

• Oversee the day-to-day operations of the office, ensuring it runs smoothly and

efficiently.

• Manage and process onboarding/outboarding of staff/ interns.

• Coordinate with the parent company on admin matters where necessary.

• Maintain office records, including timely disposal of old documents according to

guidelines.

Responsibilities and Means

• Works with Director of Sales & Marketing (DOSM) to define revenue goals for top line corporate sales segment.
• Reports on Weekly sales activities and corporate sales production and monthly on pace, consumption and opportunity within key accounts channels.
• Provide full account management to assigned corporate accounts so as to maintain and develop new business opportunities for the hotel.
• Achieve a minimum of 5 new commercial rooms and F&B opportunities per month (Corporate, Group or MICE).
• To achieve set Revenue Targets and goals for New and Existing Business as agreed and set out in the Sales Activity Plan.
• Maintain and ensure the smooth operation of all his/her accounts within the commercial section in consultation with the DOSM on all matters.

• To undertake research, cold calling, blitz to identify new potential accounts. Identify and generate sales leads for business development from all available channels (Research, competitor, business reoffering, exiting databases, direct mail, FAM trips).

• Prepare tentative monthly schedule record of all sales and other related activities for the preceding month.
• Maintain client records through Accor systems. Provide weekly and monthly activity reports.
• Maintain product knowledge with changing demand and request of rate structures and promotional offers.
• To attend trade show or fairs as requested by the hotel for related industry events.
• Showcase hotels and F&B opportunities to both new and existing clients by planning and implementing FAM trips and site inspections.
• Uphold positive hotel image in sales presentations and all community activities.
• To undertake all networking activity for existing and prospect accounts where requested.
• To keep up to date with market trends, market conditions, competitor developments and customer performance and communicate this information to the DOSM.
• Assist in handling the activities of the Sales & Marketing (S&M) Department to ensure smooth running of the department, including month end report for the department.
• Prepares proposals, quotations, and issue agreements.
• Ensure that all feedbacks from guests are reviewed by DOSM, then follow-up with necessary actions to be taken.

Pre-requisites:

• Diploma/Bachelor’s degree in marketing, hotel administration or a related field
• At least 2-3 years of experience in a similar capacity in the hospitality industry
