• Coordinate with facility team and site team to ensure efficient workflow.
• Assist and support the development and implement of ENGIE policies and procedures
• Assist in preparing and monitoring budgets, ensuring costing, billing, invoices are submitted on timely manner.
• Prepare and manage employee expenses claim, timesheet and attendance report.
• Ensure operations team complies with healthcare laws, regulations, and standards.
• Assist to manage operations team resources, including supplies and equipment coordination for site work.
• Record Keeping: Maintain accurate records and ensure the confidentiality of staff information.
• Problem Solving: Address any operational issues that arise and implement solutions.
• Reporting: Prepare reports for operations needs and present them to senior management.
• Any other duties as assigned

Requirements

• Polytechnic Diploma holder and above.
• At least 3 year(s) of working experience in the related field is required for this position.
• Prior experience in construction, healthcare administration or a similar role.
• Excellent communication and interpersonal abilities.
• Proficiency in MS Office.
• Knowledge of Singapore code of Practice and regulations will be an advantage.
• Ability to manage authorities submission and report.

10. Source suppliers online for goods required for repair and replacement work on site.
11. Prepare quotations, send them to clients, and follow up on purchase orders.
12. Collaborate with existing suppliers to learn about their products and services.
13. Order parts and materials from suppliers as needed.
14. Stay updated on industry trends and continuously improve knowledge and skills
15. Ability to work independently and take initiative
16. Some background in engineering or related field preferably
17. Willingness to learn and adapt to new processes.

• Manage and supervise the consistency, effective and efficient rollout of programs across different branches.
• Ensure programs meet established standards and effectively engage clients (ie. Elderly).
• Collaborate closely with the branch staff to create and implement plans and executions.
• Monitor, assess program performance, and suggest improvements.
• Facilitate communication among staff, participants, and stakeholders, managing program budgets and resources.

Job Requirements

• Diploma in any discipline.
• Experience in program coordination, preferably in social services or healthcare.
• Have expertise knowledge of program design, implementation, and evaluation.
• Possess strong interpersonal, communication, and leadership skills.
• Able to work independently and collaboratively while managing multiple tasks and priorities effectively.

Responsibilities

• Provide administrative support to the Head of Department e.g. manage appointments, organise meetings, submission of expenses claims and regular revenue reporting
• Provide administrative support to the department in organizing team meetings, recording minutes, administering e-case filing, billings, monitoring of payments, reports generation etc
• Provide administrative support to department’s marketing communications, client events and gifts
• Serve as a point of contact for internal and external stakeholders and enquiries.
• Covering of Front Office Duties as rostered

Requirements

• Administration, Business and / or Management Certificate or Diploma qualifications
• Preferably 5 years' of relevant experience in similar capacity
• Keen and able to work with systems including accounting & CRM systems
• Meticulous and enjoy working with numbers
• Good interpersonal and communication skills
• Proficient in Microsoft Office 365
