• Communicate updates promptly to stakeholders and maintain comprehensive documentation of any revisions made.
• Alert Manager about impending room shortages in a timely manner.

Requirements:

• An ideal candidate should possess at least a Diploma in any discipline. Diplomas in Business, Administration, Logistics are preferred.
• Proficiency in both spoken and written English for daily communication.
• Experience working in facilities management department or education industry will be an added advantage.
• Familiar with Microsoft Office, with intermediate to advanced MS Excel skills.

We are a small construction and renovation company seeking a versatile Administrative Assistant to join our team. This role encompasses administrative duties, simple accounting tasks, HR responsibilities, and some purchasing activities. The ideal candidate will ensure the smooth operation of our office and support our team effectively.

KEY RESPONSIBILITIES:

Administrative Support:

• Prepare and manage quotations and invoices etc documents.
• Assist the Accounts Manager and Director with various administrative tasks.
• Implement and create workflows and forms for site operations, particularly for material ordering and stock control.
• Assists to prepare and manage risk assessments documents.

Human Resources:

• Handle all work permit/s pass applications, renewals, cancellations and repatriation including managing the entire onboarding process such as PCP and dormitory arrangement.
• Prepare HR documents such as memos, letters of appointment/contract, confirmation, increment and termination.
• Ensure daily clock-in and clock-out records for workers using our Info-Tech HRMS system.
• Update and maintain records of staff annual and medical leaves in the HRMS system.
• Ensure all workers' information in Info-Tech HRMS system is up to date.

Accounting:

• Assists the Accounts Manager in managing petty cash and workers' salaries.
• Assists with simple accounting tasks as required.

Purchasing:
