Position Summary

This position is responsible for the preparation of operations documents, timely updates WMS and

provide support in general logistics administrative functions.

Responsibilities

Primary Responsibilities

 Responsible for the coordination and preparation of all necessary documentation for the

movement of warehouse cargo

 Liaison with trucking contractors for local deliveries

 Create and maintain reports and files for all operations records, correspondence, plans, and

expenses.

 Coordinate with operations personnel to ensure readiness of cargo for deliveries.

 Update WMS on Cargo Status.

 Liaise with customers for all matters pertaining to shipments and deliveries

 Handle any other ad-hoc / administrative duties.

Qualifications Summary

Experience:

Education:

Skills:

 Good customer service and communication skills

 Knowledge in Warehouse Management System (WMS)

RESPONSIBILITIES

Safety Coordinator (80% - Main scope)

• Assist in the formation or revisions of site risk assessments with various stakeholders and other EHS related documents.
• Conduct Safety Induction briefing and EHS in-house courses to new joiners and contractors.
• Conduct safety inspections ensuring site activities are in compliance to local and corporate requirements.
• Support incident investigations and recommend remedial measures to prevent recurrences.
• Assist in site preparation for internal, external and corporate audits.
• Assist and coordinate site emergency response drills with stakeholders.
• Any other EHS duties as assigned.

Site Administration (20%)

• Manage the incoming/outgoing calls, exercising tactfulness and reliable personal judgement to greet and screen visitors & calls at all levels within the organization, industry and community.
• Manage general office/pantry supplies e.g. stationery, pantry, coffee, fruits.
• Monitor performance of Janitors.
• Prepare new staff pass, uniform, uniform name tag, towel.
• Laundry washing & return coordination.
• Support in IT coordination and purchasing activities.
• Support in miscellaneous &/ adhoc duties, courier services, event organizer, lunch coordination & other matters where applicable.
• Any other admin duties as assigned.

REQUIREMENTS

1. Minimum GCE O Levels and above.
2. Possess Advance Certificate in WSH (Level B) or equivalent.
3. Possess Develop a Risk Management Implementation Plan or equivalent (BizSAFE Level 2).
4. Minimum 2 years WSH experience working in manufacturing/petrochemical/oil & gas industry preferred.
5. Familiar with local WSH legislations and requirements.
6. Proficient in Microsoft Office.
