Sales Coordinator

Working Days: Monday to Friday
Working Hours: Mon - Thurs (8:30am - 6pm) ; Fri (8.30am to 5pm)
Salary: $2300 - $3000 max
Location: Bukit Merah

Duties & responsibilities:
- Generate necessary forms for all transactions – POs, DOs, invoices, supporting documents.
- Tracking and documentation of incoming/outgoing rental equipment.
- Submit and archive paperwork systematically.
- Responsible for keeping small inventory items under lock and key.
- Work closely with accounts department for payment processing.
- Coordinate production requests between sales team and workshop operations.
- Provide sales quotes to customers for standard items.
- Packing and shipping of equipment cargo overseas.
- Undertake sourcing/purchasing for spare parts and services.
- Manage order process for new product inventory.
- Monitor supply chain delivery performance and communicate feedback to suppliers as appropriate.
- Ad hoc projects and duties as assigned from time to time.

Requirements:
- Proficiency with MS Office and Excel is a must.
- At least 2 years relevant working experience.
- Must have relevant experience, prefer with Oil and Gas, Marine background
- Experience with international freight would be an added advantage.

Job Responsibilities

1. Develop, implement, and maintain comprehensive safety programs to ensure a safe working environment.
2. Ensure that all safety policies and procedures are followed and regularly updated to comply with local, state, and federal regulations.
3. Promote awareness and adherence to safety guidelines across all levels of the organization.
4. Conduct regular safety inspections of the workplace to identify potential hazards or safety violations.
5. Prepare and perform risk assessments (RA), SWP and FPP processes to minimize workplace risks.
6. Ensure corrective actions are taken when necessary, and hazards are reported and managed.
7. Maintain training records and ensure employees are up-to-date with required certifications and safety protocols.
8. Prepare and submit required reports and documentation to regulatory bodies and senior management.
9. Keep up-to-date with new and changing safety regulations and advise the organization on necessary adjustments.
10. Ensure proper reporting and documentation of workplace accidents, injuries, and near-misses.
11. Investigate accidents and incidents to determine the root cause and recommend corrective actions to prevent recurrence.
12. Maintain records of incidents and safety inspections for compliance purposes.
13. Monitor the availability and proper use of personal protective equipment (PPE) and ensure that employees are trained to use it properly.
14. Ensure safety equipment, fire extinguishers, first-aid kits, and other emergency tools are properly maintained and accessible.
15. Assist corporate HSE manager on EHS implementation.

Job Requirements

1. Diploma / Degree in relevant discipline or equivalent.
2. Certificate in Safety Coordinator / Advance certificate in Workplace Safety & Health.
3. Minimum two (2) years' of relevant safety experience.
4. Knowledge of Workplace Safety & Health Act.
5. Knowledge of RC work activities and PTW system.
6. Knowledge in preparing EHS report.
7. Willing to travel around project site offices within Singapore.

• Responsible to overseeing the compliances of safety regulations and company EHS policy.
• Review and manage ISO audits and BizSafe Star requirements, liaise with in-house and external stakeholders.
• Provide recommendations and proposals to management to ensure organization comply with WSH Acts.
• Provide training to in-house team as well as our subcontractors, and ensure they follow safe work procedures.
• Liaising with Project Manager and Operational Managers to ensure their team is complying with safety regulations.
• Periodic and surprise audits to operational sites in Singapore which includes maintenance services as well as installation of chillers, piping and electrical works.
• Provide training and to our overseas team and do remote inspection to ensure they follow Singapore Safety Standard or local regulations whichever higher.
• Act as Safety Coordinator to oversee the installation if required.
• Conduct bi-weekly Site Coordinators Meetings to follow-up site Safety activities among contractors.
• Generate Site Coordinator Meetings reports

Qualifications:

• Safety Coordinator with WSQ Advanced Certificate in Workplace Safety and Health (Level B) Course.
• BizSafe 2 certified.
• Managed Work at Height certified.
• Fire warden certified.
• Experience with mechanical works especially working with sub-contractors.
• Must be able to conduct mass toolbox with presence of contractors.
• Must be able to execute the day-to-day safety operations (RA, SWP, PTW application, toolbox meetings, safety inspections, follow-up of non-compliances, etc,).
• Must be able to evaluate safety in (Lifting, Hot-Work, WAH, Electrical) activities and issue stop work if required.
• Other certifications - BizSafe 4, ISO internal auditor certifications will be an advantage.
