The F&B Executive (Administration) is responsible for providing comprehensive administrative support to the F&B Department, assisting with the coordination of kitchen operations, and ensuring the efficient flow of information within the department and with other stakeholders. Administrative Support:

• Maintain and organize files, records, and documents, ensuring confidentiality and easy retrieval.

Communication and Coordination:

• Act as a liaison between the Director of Culinary & Beverage Operation (DOCBO), other F&B teams and all relevant stakeholders, ensuring clear communication and timely dissemination of information.

Inventory and Procurement:

• Support the DOCBO in managing budgetary constraints and cost control measures.

Event Planning and Execution:

• Administrative support in special events, catering functions, and menu tastings.
• Help in the preparation of event-related documents, such as menus, seating charts, and schedules.

Menu and Recipe Management:

• Assist the DOCBO in the managing of menus, including typing, proofreading, printing and distribution
• Maintain an organized database of recipes, including updates and revisions as necessary

Admin Support:

Miscellaneous:

• Perform other duties as assigned by the DOCBO.
• Provide backup support to other administrative staff as needed.

Qualifications:

• High school diploma or equivalent; or related field preferred.
• Previous experience in an administrative role, preferably within a kitchen or hospitality environment.
• Strong organizational skills with the ability to multitask and prioritize effectively.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
• Excellent communication and interpersonal skills.
• Knowledge of culinary terminology and kitchen operations is a plus.

Responsibilities

• Lead and supervise the team on each shift, ensuring that the company maintains the highest quality of service standards.
• Assist the Restaurant Manager in performing duties related to marketing, operational plans, and other special restaurant functions.
• Handle any guest feedback on food quality and service.
• Supervise, support and confirm that the outlets adhere to local regulations concerning health, safety, or other compliance requirements, as well as brand standards, policies and procedures.
• Routine inspection of all outlet equipment to assure all are in proper working condition and prepare a list of equipment in need of repair and maintenance.
• Regular stock-taking to ensure sufficient supplies in restaurant/café for smooth operation.
• Plan staff roster based on outlet’s operational requirements.
