Major Duties and Responsibilities

Procurement & Sourcing

• Perform timely execution of procurement activities (sourcing, tendering, seeking purchasing approvals)
• Conduct sourcing and market sensing activities
• Draft procurement documents (ITQ, ITT, Submission Report, etc) for review
• Ensure the whole purchase request to contract award is timely followed through
• Prepare pricing summaries and cost analysis to relevant stakeholders and evaluation committee
• Ensure proper documentations and approvals are obtained and filed in proper order
• Creation of Period Contracts in ERP system for all requesting departments
• Issuance of Purchase Orders to suppliers and follow through on outstanding issues

Office Administration

• Assist in ordering pantry and office supplies
• Assist in new staff onboarding activities (issuance of staff pass and equipment)
• Organize meetings and drafting minutes
• Assign and uphold Item Code records in ERP system
• Provide support in day-to-day administrative related matters
• Carry out any other administrative duties or tasks as assigned

Information Technology (IT)

• Provide subject matter expertise in regards to ERP system
• Coordinate the activities of IT equipment issuance, Tech Refresh, and technical issues

Any Other Duties

• Understand the policies stipulated in the Procurement Manual and Financial Regulations to advise stakeholders

About the role

A solution orientated Procurement Executive who can formulate and drive a consistent approach towards all sourcing, negotiation, purchasing and tendering activities, to ensure value for money is maximized and cost savings generated. [What you will be working on]

• Processing payments for the Board’s expenses, including payment to suppliers, grant recipients and scholars and maintenance of supplier and customer records in financial system; 

• Processing reimbursement to staff for overseas trips and other claims; 

• Processing overseas centres’ expenses to suppliers;

• Monitoring of accounts receivables, fixed assets and bank account at overseas centres;
