Responsibilities:

• Assist the Executive Supervisor in managing warehouse and logistics operations, including overseeing material handlers, drivers, and warehouse security.
• Plan, provide, and conduct training for new team members. Maintain close communication with the team, including regular briefings. Ensure proper housekeeping, cleanliness, safety, discipline, and the well-being of workers.
• Oversee the daily collection and delivery schedules, as well as the monthly and weekend overtime arrangements for staff.
• Manage and communicate with customers and the Planner.
• Control and monitor daily operations of material handlers and drivers, including incoming/receiving, finished goods, packing, documentation, and delivery.
• Manage, update, and compile warehouse-related work instructions, procedures, safety checklists, housekeeping duty rosters, risk assessments, and other work-related documentation.
• Ensure received goods are in proper and good condition, and verify the quantity and documentation of incoming goods. Report any abnormalities immediately to the customer and Planner.
• Oversee incoming receiving procedures and outgoing packing procedures.
• Manage resources for daily operations.

Additional Information:

• Preferably experience in production planning, warehouse and logistics
• Preferably with class 3 driving license

• Develop new business through direct marketing, referrals, and targeted sales strategies in collaboration with the sales team.

• Prepare and manage official quotations, delivery orders, and sales performance reports using estimate software.
• Conduct site visits, sales presentations, and tendering, while researching and expanding supplier/vendor listings for projects. On-the-job training provided.

Job Scope:

Role A:

• Prepare invoices and packing lists upon receiving emails from overseas or locally
• Respond promptly to all received shipment details
• Inform the freight forwarder about all shipments within the specified time, or send a reminder email to the respective PIC of the shipment
• Check and sign payment entries made by the PIC of Role B
• Check and sign purchase entries in Focus & MYOB made by the PIC of Role B
• Check and sign all entries in MYOB made by Role B
• Cover the job responsibilities of Role B in their absence

Role B:

• Enter purchase entries for suppliers in Focus and MYOB simultaneously
• Prepare payment vouchers/cheques and enter all payment entries
• Check overseas shipment packing lists by comparing them with email requests and verify the prices mentioned on the packing list
• Complete any ad-hoc admin work assigned by HOD
• Cover the job responsibilities of Role A in their absence
