Tasks / Responsibilities

1) Accounts Payable / Receivable

• Processing of creditors invoices, management fees, Group purchases of goods and services and reimbursable expenses
• Ensure correctness of payment amount and record
• Raising of payments ensuring proper authorisations
• Processing of corporate credit card transactions – ensuring corporate purchasing policy is being followed by cardholders
• Reconciliation of vendor accounts/investigation of variances
• Follow up on outstanding invoices and payments
• Input AP/AR invoices and payments/receipt in Accounting system

2) Administrative Functions

• collating and filing paperwork
• Management of filing system

3) Other tasks where required

Qualifications:

• Student completed their Diploma or pursuing Degree in Accountancy
• Preferably with internship or previous experience in Finance or Accounting
• Proficient in Microsoft Office
• Good in analytical skills and has an eye for detail
• Enthusiasm and willingness to learn and expose to new and different challenges
• Possess good work attitude and highly self-motivated

Primary objectives of the position:

• Responsible for the complete management of premises, as well as planning and implementing effective support strategies that meet the demands of the studio to enable a high performing culture.
• Provide administration support to the Singapore studio Principal and Leadership group, and timely, professional, and responsive customer service to all Hassell staff and clients with consistent high-quality outputs.

      Key Activities:

• Day to day management of operations and ensuring a collaborative team approach with excellent communication and customer service skills.
• Manage the day to day functioning of the studio premises and various facilities.
• Oversee the coordination of internal studio events / functions / catering requirements, with other Business Support staff and the Culture Collective group.
• Support with travel and accommodation bookings for Hassell personnel through relevant suppliers as required.
• Assist the Business Development team where necessary on proposals and awards submissions.
• Manages studio operating expenses with support sought from local Studio Accountant including approval of purchase orders for studio expenditure (i.e. non-project related).
• Completion of relevant elements for inclusion in the Regional Report which includes operational, project and non-project issues for the studio with input from Practice Leaders and business functions.
• Chairs weekly leadership meeting and ensure actions are undertaken as required.
• Assists the Managing Principal on studio tenancy issues including lease renewal, negotiations, security and any other tenancy requirements.
• Support Professional Practice to ensure monthly reports are undertaken for all projects in the studio, by ensuring all reports have been submitted to Practice Leaders for review and action as applicable.

Role Summary

As an Accounts Assistant, you will provide financial and administrative support to ensure efficient and accurate operations. You will be responsible for managing accounts, ensuring compliance with internal policies and external regulations, and assisting with various financial tasks.

Key Responsibilities

• Charter Hire Remittances: Ensure timely and accurate remittance of charter hire payments.
• Billing: Timely billing of expenses to owners and charter hire to sub-charterers.
• Account Analysis: Perform monthly analysis of owners' accounts and recovery accounts.
• Account Management: Accurately account for all liabilities, expenses, and payments in owners' accounts.
• Dispute Resolution: Resolve disputes with owners in collaboration with line managers, accounts teams, and ship brokers.
• Payment Follow-Up: Monitor and follow up on payments to/from owners and sub-charterers.
• Account Finalization: Ensure timely finalization of owners' accounts.
• Compliance: Ensure adherence to internal processes, procedures, instructions, and deadlines.
• Audit Support: Prepare accounts schedules for audits and address audit concerns promptly.
• Ad-Hoc Projects: Assist with other projects as required.

Requirements

Education & Knowledge

• ACCA/Accounting Degree or diploma holder.
• Fresh graduates with an ACCA/Accounting degree are encouraged to apply.
• Diploma holders should have 2-3 years of relevant experience.
