Job Description

We are looking for a Clinic Assistant to deliver exceptional service and support our clinic operations in Novena. The role involves front desk duties, patient registration, handling calls, processing payments, and assisting with clinical tasks.

Roles & Responsibilities

• Frontline Service: Deliver excellent customer service, managing patient inquiries and registrations.
• Appointment Coordination: Schedule appointments and manage patient registration efficiently.
• Communication: Handle phone calls and address patient inquiries in a professional manner.
• Insurance & Payments: Process medical insurance claims, issue tax invoices, and manage payment collections.
• Administrative Support: Perform administrative duties, assist with simple clinical procedures, and complete ad-hoc tasks as assigned.
• Efficiency: Assist in clinic operations to ensure a smooth and organized workflow.

Requirements

• Experience: Minimum of 2 years in a clinical setting, preferably in a healthcare organization.
• Skills: Proficient in medical insurance processing and tech-savvy.
• Language: Able to converse fluently in English and Mandarin to communicate with patients.
• Attributes: A team player who can work independently, with strong interpersonal, communication, and problem-solving skills.

Additional Information

1. Salary: Up to $3,500 basic, plus variable bonus and AWS.
2. Work Schedule: 5.5-day work week (Monday to Friday: full day; Saturday: half day). Working hours are based on clinic opening and closing times.

Responsibilities:

Reception

• Cover front desk customer service duties for Primary School and MOE Kindergarten.
• Answer phone calls, attend to walk-in visitors, takes messages,responds to enquiries and provide general useful information (in a dynamic environment where high calls volume can be expected during peak hours).
• Maintain customer related information when required, eg phone log.
• Communicate with teachers regarding parents’ feedback/ message from phone calls or walk-in parents.
• Handle daily varied demands and queries from parents/ students/ vendors/ staff etc.
• Render first level assistance to walk-in students’ needs including attending to sick and injured students, early dismissals. To escalate
• such cases to other colleagues in the office immediately if it is beyond superficial cases
• Handle/ support situation when student(s) vomited and soiled their clothes.
• Assist students in times of need, e.g. handling lost & found items, change of uniform, contacting teacher/ parent, locating classroom.
• Assist in receiving of goods and incoming mails.
• Maintain tidiness of the reception area at all times.

General Administration

1. Assist in the counting / sorting / packing / distribution of brochures or leaflets/items to the teachers and students.

2. Assist in the dissemination of information: school circulars, parents’ messages.

3. Inventory management of spare uniforms and first aid items.

4. Assist with the updating of Organisational Chart when new staff joins, or resigning staff leaves.

5. Assist with updating the attendance system on a daily basis, using the IT-enabled system of attendance tracking.

6. Any other duties assigned by School Leaders, Administrative Managers (AM) or Operation Managers (OM), including supporting school key personnel as assigned by the AM.

Qualifications:

1. Minimum 3 GCE N Level passes including english & Mother tongue languages

2. Must be proficient in computer applications such as MS Word, MS Excel.

3. Possess customer service oriented disposition with good interpersonal and communication skills.

4. Shall have at least 3 years of relevant experience in administrative role and/or front desk reception, preferably with prior working experience in an educational institution.

5. Able to relate well with young children.

To assist in the daily administration jobs in the company. Expericene in office stills is an advantage and essential.

Knowledge with microsoft words , excel , data entry etc.. is part of the scope of works. Able to work independently
