About the Role:

We are looking for an Office Administration and Sales Operations Executive with prior work experience in office administration and inside sales operations to manage the operations and support the sales and marketing activities of the company.

The Sales Operations Executive will be reporting to the Director Operations & Sales Manager and will work very closely with the sales team to manage business operations.

Job Responsibilities:

• The primary role of the Admin & Sales Operations Executive is to manage the day-to-day commercial operations of the company.

• Key responsibilities include Inventory management, Invoicing and consignment stocks management, liaising with public and private hospitals materials management department for orders and supplies, logistics and shipping co-ordination with manufacturers, overseas distributor orders and payment receivables management.

• Office administration – General office administration and liaising with government agencies and internal audit representative for GPDMDS audit.

• Other Sales operations – sales report preparation, email marketing campaigns to customers and tender documents preparation and customer management.

• Ad hoc support to sales team to visit hospitals during marketing programs and assist in product delivery.

Requirements:

• Diploma
• Experience of 3 years and above in the office administration, sales operations or inside sales experience.
• Experience in a medical devices’ distribution company will be an added advantage.
• Sales-driven, self-motivated, customer oriented and proactive individual with a track record in delivering results.
• Positive working attitude with excellent communication and interpersonal skills.
• Ability to work independently and at the same time a team player.

Foreign Employee Work Pass

• Apply and renew work passes
• Arrange for work pass related medical test
• File tax clearance for resigning foreign employee

Training & Development

• Conduct annual training need analysis
• Source and apply for training programs
• Ensure training documentations are in place
• Ensure participants receive their certifications
• Update training report

Retirement and Re-employment

• Discuss re-employment initiatives with HOD
• Ensure all re-employment exercise is conducted on time

HR Administration

• Administer HR related letters and memo
• Ensure employee personal and employment details are up to date
• Ensure timely submission of MOM surveys
• Manage HR claim and welfare matters.
• Organise and execute annual D&D
• Revise employee handbook when needed.
• Revise HR policies and letters when needed.

Job Requirement

• At least 3 years of HR experience, preferably in recruitment and/or training.
• Good communication skills in English, both written and spoken.
• Self-motivated and proactive.

Job Descriptions:

• Work closely with R&D/Planning team to procure the required materials including PO processing, follow-up with delivery and update the related team accordingly.
• Timely provide demand forecast to suppliers to secure the required materials.
• Resolve the problems related to materials supply including cargo damages, shipment delay or early landed, payment issue verification with Accounting Dept. within his/her capacity level.
• Negotiate the purchase terms, price , shipment pull in & push out
• Obtain suppliers inventory data and ensure always have sufficient stock locally or overseas to support our dynamic production plan for specific materials.
• Goods receipt verification against PO balance in the system in month end closing.
• Any other duties as assigned by superior.

Job Requirements:

• Diploma or Degree holder
• Min 2 years relevant experience in manufacturing environment.
• Proficient in SAP, MS Excel/Word.
• Strong interpersonal and communication skills, verbal and written skill.
• Able to work well under pressure with a positive mindset.
• Good knowledge in import & export terms, rules & regulations
• Strong attention to details, possessing a team working aptitude and interested in preventing errors and solving problems.
• Demonstrated excellence in organization and time management skills.
• Ability to manage multiple tasks efficiently.
