· Coordinate invitations to industry leaders (C-suite) speakers to present, address keynotes, be part of ground-breaking dialogues
· Coordinate with speakers, awards submission and nominations, and other
administrative matters for Informa maritime Awards events
· Manage speakers/sponsors speakers’ expectations and administration matters
· Meet speaker confirmation timeframes and deadlines
· Schedule and coordinate, and be part of preparatory content calls/meetings with
speakers
· Organise and regularly update conference agendas, manage speakers
database, and to source new speaker contacts
· Update programme changes and speakers’ photos for event website
· Prepare event cue sheets in the lead up to the event days
· Ensure the delivery of managing, administering, and running of conference
on the event day
· Record and document minutes during steering committee meetings
· Carry out other tasks assigned by Event director, in close collaboration with Conference Producer- working as part of a project management team, including event, marketing, sales and operations
Requirement:
· University degree, preferably in communication, journalism, public relations, marketing, business, or related field.
· Self-starter with excellent attention to detail, organisation and coordination skills
· Strong collaborator and enjoy working with inter-departments across the company
· Proficient in the Microsoft Office
· Able to prioritise and handle a range of events simultaneously
· Able to work under pressure and tight deadlines
· Excellent written & verbal communication skills
· Experience in coordinating and supporting various aspects of conferences or B2B tradeshows will be preferred
